About the Role:
Belfast is a growing centre for technology, professional services and business transformation, and at Henry Four Eleven Business Solutions Ltd, we help organisations deliver projects more efficiently through practical digital solutions and strong operational support.
We are looking for a Project Coordinator who can keep projects organised, maintain clear communication and ensure that deadlines, actions and deliverables stay on track. You will work closely with project managers, consultants, technical teams and clients, helping to coordinate several business and technology projects from planning through completion.
This is a hands-on mid-level role for someone who is highly organised, confident working with different stakeholders and comfortable managing competing priorities.
Why Work With Us?
The Environment:
Our Belfast office offers a professional and collaborative working environment with convenient access to public transport, shops and local amenities. We encourage open communication, structured teamwork and practical problem-solving.
Meaningful Responsibility:
You will play an active role in project delivery rather than simply providing administrative support. Your work will directly contribute to project planning, client satisfaction and successful outcomes.
Modern Tools:
We use digital project management, reporting and collaboration platforms to keep teams aligned and projects transparent.
Career Development:
You will receive support to strengthen your skills in project management, stakeholder coordination, reporting and business operations. There will also be opportunities to progress into Project Manager, Implementation Consultant or Business Operations roles.
Key Responsibilities:
Project Coordination:
Support the planning, scheduling and delivery of multiple client and internal projects. Ensure tasks, milestones and dependencies are clearly documented and monitored.
Project Documentation:
Prepare project plans, meeting notes, status reports, action logs, risk registers and other project documentation.
Stakeholder Communication:
Act as a key point of contact between project managers, internal teams, suppliers and clients. Provide timely updates and follow up on outstanding actions.
Meeting Management:
Schedule and coordinate project meetings, prepare agendas, record decisions and distribute clear action points.
Progress Tracking:
Monitor deadlines, deliverables and project progress. Escalate delays, risks or resource issues to the appropriate project manager.
Resource Coordination:
Help coordinate team availability, project requirements and supporting materials to ensure work can proceed as planned.
Reporting:
Produce regular project updates and management reports using accurate data and clear summaries.
Process Improvement:
Identify opportunities to improve project coordination, reporting templates and internal working practices.
What We Are Looking For:
Experience:
At least 2 to 4 years of experience in project coordination, project support, business operations or a similar role.
Project Knowledge:
A good understanding of project planning, task management, risk tracking, reporting and stakeholder communication.
Organisation:
Strong attention to detail with the ability to manage multiple deadlines and priorities without losing accuracy.
Communication Skills:
Confident written and verbal communication skills. You should be comfortable speaking with clients, colleagues and senior stakeholders.
Tooling:
Experience using Microsoft Office, Microsoft Teams, Excel and project management platforms such as Asana, Monday.com, Jira, Trello or similar tools.
Problem-Solving:
You can identify issues early, organise information clearly and support practical solutions.
Mindset:
You are dependable, proactive and comfortable taking ownership of your responsibilities. You understand when to follow established processes and when to recommend a better approach.
Pay: £2,381.00-£2,863.00 per month
