## Job Summary
The Office Administrator will play a key role in ensuring the smooth and efficient operation of our training centre. Working closely with the Centre Manager/Director, the successful candidate will provide dedicated administrative and personal assistant support, including managing schedules, coordinating meetings, handling correspondence and assisting with day-to-day priorities.
Alongside this, they will carry out a range of administrative duties to support the effective delivery of our training programmes. This is an excellent opportunity for a highly organised, detail-oriented and proactive individual who can manage multiple responsibilities and thrive in a fast-paced environment.
Key Responsibilities:
- Administrative Support:
- Provide general administrative support, including answering phone calls, responding to emails, and handling inquiries.
- Manage office supplies and inventory, ensuring that the office is well-stocked and equipment is maintained.
- Coordinate and schedule training sessions, meetings, and appointments.
- Customer Service:
- Greet and assist visitors, trainees, and clients in a professional and friendly manner.
- Handle registration processes for trainees, including processing applications, maintaining records, and ensuring compliance with company and industry regulations.
- Data Management:
- Maintain accurate and up-to-date records of trainees, instructors, and training sessions.
- Input data into company systems and ensure all information is kept confidential and secure.
- Financial Tasks:
- Assist with invoicing, processing payments, and managing petty cash.
- Coordinate with the finance department to track expenses and reconcile accounts.
- Communication:
- Serve as the primary point of contact for internal and external communications related to office administration.
- Liaise with suppliers, vendors, and contractors to support the needs of the office.
- Compliance and Documentation:
- Ensure that all documentation related to training and certification is accurately filed and accessible.
- Assist in maintaining compliance with industry regulations and company policies.
Experiance and Skills:
- Previous experience in an administrative or office management role is highly desirable.
- Experience within the construction, training, or machinery industry is a plus.
- Strong organisational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM or ERP systems.
- High attention to detail and a commitment to accuracy.
- Ability to work independently and as part of a team.
- Customer-focused with a positive, can-do attitude.
