Job summary
The Outpatient Referrals Senior Administrator plays a key role in supporting the delivery of a high-quality, efficient outpatient referrals service across Somerset NHS Foundation Trust, including services delivered at Musgrove Park Hospital and Yeovil Hospital. The post holder is responsible for the management and processing of patient referrals and outpatient appointments, ensuring referrals are handled accurately, efficiently and within agreed timescales to support timely patient access to care.
Working closely with GP practices, clinicians, operational teams and patients, the role supports the coordination and monitoring of referral pathways through a range of local and national systems, including e-Referrals, Cinapsis, Maxims and TrakCare. The post holder is responsible for maintaining data quality, managing referral worklists, producing performance information and ensuring referrals progress appropriately through the patient pathway in line with Trust policies, RTT requirements and access standards.
The role also provides leadership support to the Outpatient Referrals Team, acting as a deputy to the Outpatient Referrals Supervisor when required. This includes supporting the supervision, training, induction and development of staff, assisting with workload management and contributing to the day-to-day operational running of the service.

Main duties, tasks & skills required
Process, monitor and manage outpatient referrals and appointment-related activities across Somerset NHS Foundation Trust.
Support referral pathways and services delivered at Musgrove Park Hospital and Yeovil Hospital.
Monitor and validate referral worklists using systems such as e-Referrals, Cinapsis, Maxims and TrakCare.
Produce and maintain reports, databases and performance information to support service delivery and operational oversight.
Ensure referrals and patient information are processed accurately and in line with Trust policies and data protection requirements.
Assist in monitoring compliance with Referral to Treatment (RTT) and patient access standards.
Provide advice and support to patients, GP practices, clinicians and colleagues, resolving queries in a professional and timely manner.
Support the day-to-day supervision and coordination of the Outpatient Referrals Team, deputising for the Outpatient Referrals Supervisor when required.
Assist with staff induction, training, appraisals, performance management and workload allocation.
Contribute to system development, testing, service improvements and the implementation of new referral processes.
Promote excellent customer service and support the delivery of a consistent, efficient and patient-focused referrals service across the Trust.
