Berinsfield Parish Council is seeking an organised, proactive and approachable Administrative Assistant to support the delivery and continued development of its services.
Reporting directly to the Clerk and Responsible Financial Officer, the successful candidate will provide high-quality administrative, operational and customer service support across a varied range of Parish Council activities.
The position is primarily home-based. The postholder will also be required to work at Parish Council locations in Berinsfield from time to time, including Berinsfield Sports Pavilion, the allotments, the burial ground, the Recreation Ground and other Parish Council facilities.
Normal working hours will be 9.00 am to 5.00 pm, Monday to Friday. Some flexibility may be available to suit the right candidate. Occasional attendance at evening meetings and events will be required.
The role
Responsibilities will include:
- acting as a first point of contact for residents, contractors, councillors and partner organisations
- responding to routine enquiries by telephone, email and in person
- maintaining accurate electronic and paper records
- updating the Parish Council website and preparing social media content
- supporting the administration of the allotments, burial ground, Recreation Ground, play areas, open spaces and other Parish Council facilities
- assisting with projects, inspections, repairs, maintenance and contractor arrangements
- assisting with production and distribution of Berinsfield Village Voice
- attending evening meetings when required
Berinsfield Sports Pavilion
A significant part of the role will involve supporting the day-to-day management and development of Berinsfield Sports Pavilion.
The successful candidate will:
- administer bookings and maintain accurate booking records
- liaise with existing and prospective hirers
- promote the Pavilion to community groups, sports clubs, businesses and other organisations
- help increase appropriate use, occupancy and income
- contribute ideas and initiatives to improve the use of the building
- identify opportunities to improve efficiency and reduce operating costs
- assist with repairs, maintenance and servicing arrangements
- help ensure that the Pavilion remains welcoming, well maintained and fit for purpose
- support the long-term financial sustainability of the Pavilion and help reduce pressure for future increases in community hire charges
About you
The successful applicant will have:
- experience in an administrative or office-based role
- strong written and verbal communication skills
- excellent organisational and time-management skills
- good IT skills, including Microsoft Word, Excel and Outlook
- a high standard of accuracy and attention to detail
- strong customer service skills
- the ability to prioritise work and meet deadlines
- the confidence to communicate with residents, councillors, contractors and partner organisations
- the ability to maintain confidentiality and handle sensitive information appropriately
- a proactive approach and a willingness to suggest improvements
- an interest in promoting community facilities, improving efficiency and delivering value for residents
Previous experience of local government, the public sector, venue administration, booking systems, websites or social media would be advantageous but is not essential.
