Purpose of the Role
The Office Administrator is responsible for providing efficient administrative support across the business, ensuring the smooth day-to-day running of office operations. The role requires excellent organisational skills, attention to detail and the ability to prioritise a varied workload while supporting colleagues, customers and suppliers in a professional manner.
Key Responsibilities
General Administration/Office Support
- Provide administrative support to all departments as required.
- Answer incoming telephone calls and direct enquiries appropriately.
- Monitor and manage shared email inboxes.
- Prepare correspondence, reports, presentations and other business documents.
- Maintain electronic and paper filing systems.
- Arrange meetings, book meeting rooms and prepare refreshments where required.
- Assist with travel and accommodation bookings.
- Ensure the office environment remains organised and presentable.
- Respond to customer enquiries promptly and professionally.
- Maintain accurate customer records.
- Support the sales and service teams with administrative tasks.
Sales & Service Administration
- Process customer orders and quotations where required.
- Prepare documentation relating to sales, service visits and installations.
- Assist with scheduling engineers and coordinating service activities.
- Update internal databases and business systems.
HR Administration
- Maintain employee records.
- Assist with onboarding new employees.
- Support training record administration.
- Help coordinate company events and staff communications.
Compliance & Quality
- Ensure company records are maintained accurately.
- Follow company policies and procedures.
- Support document control within the Management Systems.
Person Specification
Essential Skills
- Excellent organisational and time management skills.
- Strong verbal and written communication.
- High level of accuracy and attention to detail.
- Good IT skills, including Microsoft Office (Word, Excel, Outlook and Teams).
- Professional and friendly manner.
Desirable Skills
- Experience using CRM systems.
- Knowledge of Sage 200 or similar business software.
- Understanding of ISO management systems or document control.

- Previous experience in an administrative role.

- Experience supporting finance, HR or operations functions.
