OPERATIONS ADMINISTRATOR – CLEANING & SHORT-LET OPERATIONS
Location: Bristol
Pay: £13.35 per hour
Hours: 10:00am–3:00pm
Working Pattern: Monday–Friday, with occasional Sunday cover during busy periods
Sunday Shifts: Work from home
Driving Licence: Desirable
Company: Cleaning Solution Bristol Ltd
Cleaning Solution Bristol Ltd is looking for a highly organised, switched-on and proactive Operations Administrator to join our growing team.
This is not a basic admin or data-entry role.
We run a busy cleaning and short let operation where things move quickly. Bookings change, clients need answers, staff availability changes, same-day requests come in and problems need resolving.
We need someone who can think, prioritise and take ownership without needing to be constantly chased or told what to do next.
WORKING HOURS
10:00am–3:00pm
The normal working pattern is Monday to Friday.
During busy periods, you may occasionally be required to swap one weekday shift for a Sunday shift.
Sunday shifts can be worked remotely from home.
This remains a five-day working week when a Sunday is scheduled.
WHAT YOU'LL OWN
Bookings & Scheduling
- Manage and maintain daily cleaning schedules
- Add, amend and check bookings accurately
- Check upcoming cleans and guest changeovers
- Identify scheduling clashes before they become problems
- Check staffing and ensure appropriate coverage
- Make sure new bookings and changes haven't been missed
- Keep property and access information accurate
- Prepare and check the following day's operation
- Follow outstanding tasks through to completion
Client Communications
- Monitor and respond to client communications
- Handle booking changes and requests
- Keep clients updated when changes or issues arise
- Follow up outstanding requests
- Resolve problems where possible rather than simply passing them on
- Escalate genuine operational issues appropriately
- Maintain professional, friendly and confident communication
Staff & Recruitment
- Manage incoming job applications
- Screen potential candidates properly
- Arrange interviews and trial shifts
- Support new-starter onboarding
- Collect and maintain staff information
- Monitor staff availability
- Follow up outstanding documents and training
- Support daily staffing and rota requirements
Occasional Operational Support
Although this is primarily an administration and operations role, we are looking for someone who understands that occasionally the quickest way to solve an operational problem is to get it done.
From time to time, you may be asked to:
- Drop cleaning products or consumables to a property
- Deliver keys or small items to a cleaning team
- Take emergency supplies to a site
- Drop off small amounts of linen or equipment when required
- Support the Operations Team with occasional local errands
For this reason, a full UK driving licence and access to a vehicle are desirable, although not essential.
WE'RE LOOKING FOR SOMEONE WHO:
- Is exceptionally organised
- Notices when something doesn't look right
- Checks their own work
- Can prioritise without constant direction
- Takes responsibility for getting things finished
- Can make sensible decisions independently
- Handles multiple priorities confidently
- Communicates well with clients and staff
- Follows things up without needing reminders
- Remains calm when plans suddenly change
- Understands the importance of deadlines in hospitality
- Takes genuine ownership of their responsibilities
- Is happy to occasionally help operationally when required
Sending a message is not the same as solving a problem.
We need someone who understands the difference and follows things through.
THIS ROLE WILL NOT SUIT YOU IF:
- You need constant reminders
- You wait to be told what to do next
- You regularly overlook details
- You struggle when priorities change
- You leave messages unanswered or tasks unfinished
- You pass problems to somebody else without attempting to resolve them
- You are looking for a quiet, repetitive admin position
- You are unwilling to occasionally help outside the usual admin routine
- You cannot provide occasional Sunday cover
EXPERIENCE
Previous experience in one or more of the following would be particularly valuable:
- Operations administration
- Scheduling or workforce coordination
- Cleaning operations
- Airbnb or short-let management
- Hospitality
- Property management
- Recruitment administration
- Fast-paced customer service
Experience using Slack, WhatsApp, spreadsheets, scheduling software and online business systems would be advantageous.
Training on our internal systems and processes will be provided.
PAY
£13.35 per hour
HOW TO APPLY
Please do not send only a CV.
We want to understand how you think, prioritise and approach real operational problems.
Please answer the following questions:
1. Three cleaners call in sick. You have two properties with guests arriving this afternoon and a client has requested an additional same-day clean. What would you do?
2. Tell us about a time you spotted a problem before it became a bigger issue. What action did you take?
3. How do you make sure something you've delegated or followed up has actually been completed?
4. You have an unhappy client waiting for a response, a cleaner asking a question, a new booking, a job applicant, a change to tomorrow's schedule and a routine admin request. How would you prioritise them?
5. What does taking ownership of your work mean to you?
Please also include:
- Your current location
- Your availability
- Your relevant experience
- Whether you hold a full UK driving licence and have access to a vehicle
- When you could start
Applications that do not answer the five questions will not progress.
We're looking for someone who gets it someone dependable, proactive and capable of taking genuine responsibility for their area of the operation.
