About the Role
Knowl Hill School, Pirbright is seeking an experienced and highly organised Exams Officer & PA to the Headteacher to manage and administer all aspects of the school’s examinations process. This is a key role within the school, ensuring that examinations are conducted in line with awarding body regulations and deadlines.
The successful candidate will oversee a range of qualifications including GCSEs, Functional Skills and BTEC examinations.
Key Responsibilities
- Manage the full examination cycle, from entries through to results and post-results services
- Liaise with awarding bodies, staff, students and external invigilators
- Ensure compliance with JCQ and awarding body regulations at all times
- Organise exam timetables, rooming and access arrangements
- Secure handling of examination papers and confidential materials
- Manage examination day procedures and respond effectively to issues as they arise
- Maintain accurate records and examination data
- Provide comprehensive and confidential PA support to the Headteacher, including diary management, correspondence, document preparation, meeting coordination, minute taking and monitoring actions and deadlines.
- Act as a professional first point of contact for the Headteacher, liaising effectively with staff, parents, pupils, governors, external professionals and other stakeholders, using discretion and sound judgement when handling sensitive matters.
- Support the effective organisation and administration of the school, including maintaining accurate records, coordinating meetings and events, preparing reports and communications, and providing general administrative support where required.
- Handle confidential and sensitive information appropriately, ensuring compliance with safeguarding, UK GDPR, data protection and school policies, including supporting documentation relating to staffing, complaints, governance and regulatory matters.
- Work proactively with the Headteacher and Senior Leadership Team to manage priorities, monitor key actions and deadlines, support inspections and strategic activities, and undertake other reasonable duties appropriate to the role.
About You
- Experience as an Exams Officer (desirable)
- Experience as a PA (desirable)
- Strong working knowledge of GCSE, Functional Skills and BTEC examinations (desirable)
- Excellent organisational and administrative skills with strong attention to detail
- Calm, flexible and able to work under pressure, particularly during peak exam periods
- Confident communicator with good IT skills
- Ability to be highly confidential.
Working Hours
This role is full-time. Hours are 08:30am - 4:30pm.
Holidays
10 weeks' per year during school holiday periods. This includes a mandatory 3 weeks in the summer holiday period and 2 weeks over the December holiday period.
