Due to continued growth, we are looking for a general office administrator. This varied role combines sales and purchase ledger duties with customer service and general office administration. Accuracy is essential, but so is the ability to respond quickly, keep work moving, and ensure customers receive a professional and helpful service. The position offers an excellent opportunity to develop skills and gain a understanding of the wider business operations.

Core Responsibilities
Sales Administration
- Prepare, process, and follow up on customer orders, quotations, and sales documentation.
- Process sales orders and check customer purchase orders for accuracy.
- Liaise with sales and operations to resolve order queries or discrepancies.
- Maintain accurate records on our CRM/ERP.
- Assist the sales team with customer enquiries, pricing, and product information.
- Prepare sales reports and administrative documentation as required.
- Support sales representatives with pricing, product availability, and customer requirements.
- Respond professionally to customer account and invoice queries.
Purchase Ledger
- Process supplier invoices as part of maintaining the purchase ledger.
- Resolve any discrepancies with suppliers.
- Communicate with suppliers regarding invoices, credits, and account queries.
- Assist with customer payments, payment allocation, and credit control.
Office Administration
- Maintain company records and databases.
- Prepare and issue customer documentation, managing issue and version status.
- Maintain accurate records for all documentation.
- Complete filing and other general office administration duties as required.
Customer Service
- Provide a professional and friendly service to customers.
- Respond promptly to telephone calls and emails.
- Maintain positive customer relationships.
- Escalate customer issues where appropriate.
Flexibility
- A willingness to support other departments, assist with company projects, and undertake other reasonable duties.
