The role is focused on wedding sales, client communication, show-rounds, enquiry management, conversion, upselling, and supporting the wider wedding sales function across The Gainford Group.
You must be able to manage a varied range of tasks, demonstrating clear communication, strong organisational skills and excellent attention to detail. You will be expected to work well under pressure, coordinating and supporting the smooth and efficient operation of the wedding sales function in conjunction with the Head of Sales and Marketing. A customer-focused approach is essential, with a commitment to consistently delivering excellent customer service through an informed, friendly and effective manner.

Description of Duties
- Efficiently assist with the operation of a busy wedding sales department, covering every stage of the wedding enquiry and sales process.
- Respond promptly and professionally to wedding enquiries by telephone, email, online enquiries, social media and other relevant channels.
- Offer clients a ‘concept to completion’ wedding sales and planning service, ensuring they receive a high level of service throughout their customer journey.
- Conduct show-rounds with prospective clients, promoting the hotel, its facilities, and wedding offering while maximising opportunities for increased revenue and upselling. You need to be flexible in timings and days to suit the client's needs.
- Proactively follow up wedding enquiries and proposals to maximise conversion and achieve agreed sales targets.
- Maintain accurate and up-to-date records of all wedding enquiries, leads, proposals, and bookings.
- Identify opportunities to upsell additional products, services, bedrooms, food and beverage, and other revenue-generating opportunities.
- Proactively monitor key wedding planning dates, assist with final details meetings and ensure all event instructions are communicated effectively to other departments.
- Co-organise and co-host wedding open evenings and wedding fayres internally and externally
- Work in partnership with the marketing team on wedding marketing activity and monitor what works and what does not.
- Be proactive in looking at new marketing ideas and what competitors are offering to ensure that we are offering above and beyond.
- Support the social media manager with social media activity for Weddings in line with Company policies.
- Be proactive in thinking “outside the box” about new sales opportunities, initiatives, promotions, and ideas that could increase wedding enquiries and conversions.
- Maintain a strong knowledge of the hotel's wedding packages, facilities, services, and current offers in order to confidently sell to prospective clients.
- Work in collaboration with the operational team to support the smooth coordination of the wedding day and ensure all relevant client requirements are communicated effectively. You must have the flexibility to be present when required by the client or by business need.
- Support the wedding team in achieving wedding sales targets and maximising wedding revenue opportunities.
- Escalate any client, operational, financial, or service issues to the Head of Sales and Marketing or relevant department when appropriate.
- Undertake additional tasks that are not specifically listed but are within your remit and appropriate to the Wedding Sales Coordinator role.
- Provide support across other areas of the business as required, including assisting the Meetings & Events team during busy periods such as Christmas, as well as providing office administration support and assisting other teams when needed.
