We’re looking for an organised, reliable and proactive Office Manager to oversee the day-to-day running of our busy office at an active vehicle breakers yard.
Please be aware that this is not a traditional, quiet or spotless office environment. The office is based on a working breakers yard where vehicles are dismantled and parts are processed, stored and sold. The working environment can sometimes be noisy, dusty and fast-paced, with regular contact between the office, yard staff, drivers, customers and suppliers. Applicants must be comfortable working in this type of practical, industrial environment.
This is a varied and hands-on role for someone who enjoys keeping things organised, supporting a team and making sure work is completed accurately and on time. You’ll be a central point of contact for staff, customers and suppliers, so excellent communication skills and a professional, helpful attitude are essential.
Key responsibilities
- Overseeing the smooth day-to-day running of the office
- Managing telephone calls, emails and general correspondence
- Maintaining accurate records, filing systems and company documents
- Coordinating staff rotas, holidays, meetings and appointments
- Preparing invoices, purchase orders and basic financial records
- Liaising with customers, suppliers and other external contacts
- Communicating with yard staff about vehicles, parts, collections and customer orders
- Ordering stationery, equipment and office supplies
- Supporting recruitment, onboarding and general HR administration
- Monitoring tasks and following up to ensure deadlines are met
- Identifying ways to improve office systems and working practices
- Maintaining confidentiality and ensuring company procedures are followed
- Providing general administrative support to management and the wider team
What we’re looking for
- Previous experience in office management, administration or a similar role
- Strong organisational and time-management skills
- Confident communication skills, both written and verbal
- Good working knowledge of Microsoft Office, including Word, Excel and Outlook
- A high level of accuracy and attention to detail
- The ability to prioritise tasks and work calmly in a busy environment
- A dependable, professional and hands-on approach
- The confidence to work independently and take responsibility
- A willingness to work in the busy, practical environment of an active vehicle breakers yard
- Experience in the motor trade, vehicle recycling, automotive parts or a similar industry would be helpful but is not essential
- Experience with invoicing, bookkeeping or HR administration would be an advantage
