Job Summary
We have an exciting opportunity for an energetic, dynamic and detail-oriented Customer Service Administrator to join our growing team.
This is a varied and important role within the business, combining customer service, administration and operational support. You will be one of the first points of contact for our valued customers, delivering a professional, friendly and efficient service across a range of communication channels.
Working closely with both our office and delivery teams, you will provide essential day-to-day administrative support, helping to ensure the smooth running of our customer journeys. Your responsibilities will include maintaining accurate records and data, supporting internal systems and processes, managing general office administration and housekeeping tasks, and ensuring communication flows effectively between our customers and the wider team.
We are looking for someone who is organised, proactive and confident communicating with people, with a strong eye for detail and a genuine commitment to delivering excellent customer service. You will be comfortable managing multiple priorities, taking ownership of tasks and responding efficiently to customer enquiries.

Customer Service & Front of House
- Act as a first point of contact for customers by telephone, email, messaging channels and in person.
- Manage inbound and outbound enquiries professionally, friendly and efficiently.
- Process course enquiries and bookings within agreed service standards using the company systems.
- Operate the front desk and ensure customers receive a professional, friendly welcome.
- Monitor the central administration inbox and ensure enquiries are actioned or allocated appropriately within 24hours.
Training & Course Administration
- Register learners with the appropriate awarding bodies across all provisions.
- Prepare course documentation and printing at least one week before delivery.
- Review learner pre-course information and ensure identified requirements are communicated and actioned.
- Record attendance and communicate absences or concerns to the appropriate member of staff or employer.
- File certificates and notify learners/customers when certification is available.
- Coordinate End-Point Assessment administration and bookings.
- Support and undertake examination invigilation across relevant provisions.
Compliance & Data
- Maintain accurate and up-to-date learner and customer records across company systems.
- Review and action monthly administrative and compliance reports.
- Process, file and maintain required documentation.
- Follow up outstanding information and update compliance records.
- Maintain accurate records in accordance with internal procedures and awarding-body requirements.
Operational & Office Support
- Manage the company shared calendar and support meeting coordination.
- Prepare meeting agendas, take minutes where required and distribute agreed minutes within 72 hours.
- Ensure training rooms and customer-facing areas are prepared and presentable.
- Manage the parking portal.
- Monitor stationery levels and coordinate ordering.
- Undertake general filing, scanning, printing, shredding and administrative housekeeping.
- Provide day-to-day administrative support to ensure the efficient operation of the training centre.
As a small and collaborative business, flexibility and teamwork are important to us. From time to time, all team members may be required to support activities outside their usual day-to-day responsibilities to help meet the operational needs of the business.
Pay: £25,420.00-£29,574.73 per year
