Administrator / Office & Business Support Coordinator

The Abbey Group is one of the UK’s leading specialists in the restoration of furniture, artwork and rugs following fire, flood and accidental damage insurance claims. We are looking for an enthusiastic, proactive Administrator to become a key member of our family business.
No two days are ever the same!
The Role
You’ll be the backbone of our busy office, supporting the Directors, workshop team and customers while ensuring our administrative systems run efficiently.
Key Responsibilities
- Upload quotations and invoices using Xero (essential)
- Maintain customer records (knowledge of ACT! Database would be an advantage, although full training will be provided)
- Prepare job sheets and workshop paperwork
- Book appointments and email customers confirmation details
- Send welcome/introduction packs to new clients
- Follow up customer satisfaction surveys and feedback
- Answer incoming telephone calls professionally and confidently
- Manage diaries, meetings and travel arrangements
- Type letters, reports and quotations
- Maintain filing, archive and document management systems
- Keep office equipment serviced and office supplies fully stocked
- Order workshop and office consumables when required
- Process subcontractor paperwork and maintain contractor records
- Assist with Health & Safety administration, maintaining records alongside our H&S consultants
- Monitor incoming post, emails and company correspondence and action accordingly
- Log supplier invoices for Director approval
- Welcome visitors and provide refreshments when required
- Help ensure office systems, procedures and records remain accurate and compliant
About You
We’re looking for someone who is:
- Experience in using Xero (essential)
- Organised with excellent attention to detail
- Confident speaking on the telephone
- Friendly, professional and approachable
- Able to prioritise and work independently
- IT competent with Microsoft Office – Word and Excel
- A strong communicator with excellent written English
- Reliable, trustworthy and enjoys working as part of a close-knit team
An understanding of ACT! CRM would be beneficial, but don’t worry if you haven’t used it before—we’ll provide full training.
