We are seeking a dynamic and dedicated Farm Animal Co-ordinator to lead the management and coordination of farm animal operations. Responsibilities
- Check vets have written up TB tests, input test details on TOM for English farms. Phone farmers to arrange TB tests
- Print TB working sheets for following week, ensure correct vet allocated to vet on SAM
- Take post daily- Ensure all recorded and proof of posting logged.
- Spot check vets billing weekly to ensure bills have been completed – highlight any incomplete bills to the lead vet
- Invoice run, monthly price update, newsletter, vaccine reminder list to vets. To be prepared on last day of month in readiness for 1st of month.
- Import monthly sales into LA Sales spreadsheet
- Produce monthly Debtors list mid month
- Take ownership of Large animal client billing queries and escalate to Large animal director if not resolved
- Manage stock control - set max and min seasonal shelf levels- review quarterly, review dispensary daily and ensure kept tidy
- Ensure vets stock take their cars monthly and resolve discrepancies
- Keep RCVS Practice Standards protocols and TB practice protocols updated quarterly, and ensure they are adhered to
- Manage equipment maintenance logging all service dates and repairs. e.g. scanners, clippers,
- Maintain tidy office - LA vets filing and desks – floor area etc.
- Assist with delivery of housekeeping team meetings – arrange date and time along with collation of the agenda points
- Inputting and preparing farm performance data. Produce antibiotic sales report for herd health planning
- Manage student bookings
- Work alongside one of the vets to organise and support 3 farmer meetings/farm walks per year
- Assist the vets with research/develop new services for LA clients - consultancy package etc.
- Organise marketing - Oswestry show, client Christmas do, Farmers meetings. Social media – Facebook and Twitter- at least 1 post per week for both and lease with Marketing coordinator
- Billing Lab fees to client’s accounts from invoices received
- Assist reception team with answering telephone calls, billing medicines, arranging visits
- Organise Farming Connect Advisory Service – applying for funding, collating required paperwork, invoicing, communicating with Farming Connect and clients
- Organising and planning farmer and vet training courses
- Work alongside the vets to organise and coordinate smallholders club visits, vaccine days, training courses, meetings, newsletter
Requirements and skills
- Ability to perform detailed data entry accurately while managing multiple priorities efficiently.
- Prior experience in farm operations or agricultural logistics is highly desirable.
- Excellent verbal and written communication skills
- Able to work under pressure
- Stay calm with difficult situations
- Organisational skills
- Work to a robust structure and plan
- Understanding of social media platforms
- Clean driving license
- 5 GCSE A-C English, Maths, Science
