Experienced Business Administrator
Location: Kenilworth, Warwickshire
Working pattern: Office-based | 3–5 days per week | Flexible hours
Salary: £25,000–£32,000 FTE, depending on experience

We are a specialist procurement consultancy supporting large corporates, national businesses and private-equity-backed companies.
Our experienced consultants work with senior management and board-level contacts across major organisations, including FTSE-listed businesses, national retailers and private-equity-backed companies.
We are a relatively small and dynamic team with a professional but relaxed working culture, based in high-quality modern offices in Kenilworth.
As the business has grown, we are looking for an experienced and highly organised administrator to provide day-to-day support to our senior management, consultancy team and wider business. This is intended to be a permanent position.
The Role
This is a varied and responsible business administration role for someone who is organised, diligent and comfortable taking ownership and prepared to work proactively and independently, with minimal supervision, identifying what needs to be done.
The role will include PA and administrative support to the Managing Partner and Procurement Director, general business and office administration, and administrative support to our consultants.
From time to time, this may involve gathering and organising information, working with spreadsheets, undertaking basic analysis or research, and helping prepare documents and information for the consultancy team.
However, this is not a procurement role and no procurement experience is required. Our consultants are responsible for delivering client engagements, including tenders, sourcing, negotiations and procurement recommendations.
Key Responsibilities
- PA and administrative support to the Managing Partner and Procurement Director
- General administrative support to the consultancy team
- Gathering, organising and presenting information when required
- Working with spreadsheets and assisting with basic analysis
- Preparing and formatting documents, correspondence and other materials
- Preparing and uploading invoices onto Xero
- Keeping Xero records, receipts and supporting documentation organised and up to date
- Managing DocuSign and tracking documents through to completion
- Maintaining Letters of Engagement, Letters of Authority, NDAs and other client and compliance documentation
- Professionally communicating by email with clients and other external contacts, often at a senior level
- Maintaining internal records, systems and recurring administrative tasks
- Supporting our developing use of HubSpot as a CRM system
- General office management, including supplies and ensuring the office remains organised and runs smoothly
- Keeping on top of outstanding actions and deadlines and following things through to completion
About You
This is not an entry-level position. We are looking for someone with strong previous experience in administration, PA, executive support, office management or a similar role.
You will ideally be:
- extremely organised, reliable and diligent
- comfortable working independently and using your own judgement
- proactive and willing to take ownership of tasks
- confident working with information, numbers and spreadsheets
- able to organise information and present it clearly
- a strong written communicator
- comfortable dealing professionally with senior people
- discreet and attentive to detail
- adaptable and comfortable learning new systems
Strong Excel skills would be highly desirable, together with a good general working knowledge of Microsoft Office. Experience of Xero, DocuSign or HubSpot would be useful but is not essential.
We are also increasingly using AI and other digital tools across the business. Previous AI experience is not required and training can be provided.
Location and Working Hours
This is an office-based role in Kenilworth, Warwickshire. There is no regular requirement to visit client sites, so a driving licence or car is not essential.
We are flexible about the working arrangement for the right person and would consider three, four or five days per week, including five shorter working days. There is also flexibility around start and finish times.
Above all, we are looking for someone who takes pride in making sure everything gets done, nothing gets missed and the office runs smoothly.
Pay: £25,000.00-£32,000.00 per year
