Part-Time Executive PA & Project Coordinator
Location: 16 Regent Street, Barnsley, with travel to Wakefield and other business locations as required

About the role
We are looking for a highly organised, capable and proactive Executive PA and Project Coordinator to support two directors.
This is a varied role combining executive support, diary and priority management, project coordination and action tracking. It would suit someone who enjoys bringing structure to ideas, coordinating people and ensuring projects progress from initial discussion through to completion.
The role will initially be 16 hours per week. These hours may be worked over two full days or spread across three or four days, depending on the successful candidate’s availability and the needs of the business. The working arrangement will be reviewed as the role develops and the workload becomes clearer.
The role will primarily be based at our office at 16 Regent Street, Barnsley. Travel to our Wakefield site and other business locations will also be required.
Key responsibilities
You will help us manage our time, priorities, ideas and projects. A key part of the role will be turning opportunities and initial ideas into clear, practical actions, coordinating the people involved and making sure agreed tasks are completed.
Your responsibilities will include:
- Turning ideas into clear action plans and practical next steps
- Maintaining a central list of tasks, ideas and projects
- Tracking deadlines and following up outstanding actions
- Coordinating with employees, contractors and external contacts
- Holding regular progress meetings with the people involved
- Recording decisions, responsibilities and agreed deadlines
- Organising project documents and information
- Monitoring progress and highlighting delays, risks or problems
- Helping prioritise tasks and identify what requires immediate attention
- Planning diaries around agreed priorities
- Preparing agendas, documents and information for meetings
- Taking accurate meeting notes and following up agreed actions
- Helping to establish and organise new projects
- Ensuring important tasks and commitments are not overlooked
- Arranging meetings and appointments
- Occasionally booking flights, hotels and other travel arrangements
About you
We are looking for someone who is:
- Highly organised, dependable and detail-oriented
- Proactive and focused on completing tasks, not simply recording them
- Confident coordinating employees, contractors and external contacts
- Comfortable following up with people and requesting progress updates
- Able to turn rough ideas into clear, achievable next steps
- Confident managing several projects, priorities and deadlines at once
- A clear and professional written and verbal communicator
- Comfortable leading short progress and action meetings
- Confident using email, calendars and standard office software
- Discreet when handling confidential personal and business information
- Able to work independently, use initiative and take ownership
- Willing and able to travel between our business locations when required
Previous experience as an Executive PA, Personal Assistant, Project Coordinator or in a similar role would be beneficial.
