Overview:
We are seeking a highly organised and professional Office & Client Coordinator to support the day-to-day operations of our busy estate agency. This is a pivotal role within the business, acting as the first point of contact for clients while ensuring the smooth coordination of our office, sales team and directors.
You'll be responsible for delivering an exceptional client experience from the first enquiry through to completion, managing diaries, coordinating appointments, client/customer administration, supporting property marketing and ensuring our high standards of service are maintained at every stage.

Responsibilities:
- Be the first point of contact for clients, delivering a warm, professional and welcoming experience both in person and over the telephone.
- Manage diaries for valuers, negotiators and directors, coordinating valuations, property viewings, meetings and appointments efficiently.
- Handle incoming enquiries, ensuring clients receive prompt, professional and informative communication.
- Support the sales team with administrative tasks throughout the property sales process.
- Maintain and update our CRM system, ensuring all client and property records are accurate and up to date.
- Prepare sales particulars, property documentation and marketing materials.
- Coordinate with photographers, solicitors, mortgage advisors and other third-party professionals to ensure transactions progress smoothly.
- Monitor compliance documentation and assist with administrative requirements throughout the sales process.
- Support the coordination of social media content, digital marketing and property launches where required.
- Maintain high presentation standards throughout the office and contribute to creating a positive working environment.
- Assist the Directors with diary management, administration and operational support.
- Continuously identify opportunities to improve processes and enhance the overall client experience.
Qualifications
- Previous experience in an administrative, office coordination or customer service role.
- Excellent organisational skills with the ability to manage multiple priorities in a busy environment.
- Outstanding communication and interpersonal skills.
- Strong attention to detail and a high level of accuracy.
- Confident using Microsoft Office and CRM systems, with the ability to learn new technology quickly.
- A proactive, positive and solutions-focused approach to work.
- The ability to work independently while also contributing effectively within a team.
- Previous experience within estate agency, property or professional services would be advantageous but is not essential.
- Social media, marketing or digital content experience would be an advantage.
