The Role
We are looking for a highly capable and client-focused Veterinary Receptionist to join our team. This is a key front-of-house role where you will be the first point of contact for our clients and their pets. You will play an essential part in keeping our clinics running smoothly in a fast-paced, sometimes emotionally demanding environment.
Please note: This is a floating role between our Poplar and Wood Wharf branches. You must be willing and able to travel easily between both locations based on operational requirements.
Key Responsibilities
- Greet clients and their pets warmly, managing the reception area efficiently during peak times.
- Manage complex appointment bookings, cancellations, and diary scheduling across multiple clinicians.
- Answer a high volume of phone calls, triage urgency, and handle client queries with professionalism and empathy.
- Process payments accurately, manage invoices, and support billing administration.
- Support with pet insurance claims and client follow-ups.
- Maintain accurate, detailed client and patient records on our practice management system.
- Assist with client reminders, recalls, and follow-up communications.
- Support our Pet Health Plans with client sign-ups and queries.
About You (Essential Requirements)
To be successful in this role, you must have:
- Proven experience in a busy, customer-facing reception or administrative role (veterinary or human healthcare experience is highly advantageous).
- Exceptional communication skills and the ability to remain calm and empathetic when dealing with distressed clients or emergency situations.
- Strong organisational skills with the ability to multitask effectively in a fast-paced environment.
- Confidence with IT systems and the ability to learn new practice management software quickly.
- A reliable, flexible approach to work, with a genuine passion for animal welfare.
