The Role
We're looking for an experienced Administration Assistant to join our highly successful accountancy practice in our Mayfair office.
This is a varied, people-facing role where you'll provide administrative support across all departments and play an important part in the smooth day-to-day running of the office. You'll be involved in a wide range of activities, including data entry, electronic filing, document management, office supplies, meeting room preparation and reception cover. You'll regularly interact with colleagues across the firm, clients and senior members of staff, so confidence, professionalism and excellent communication skills are essential.
We're looking for someone who can take ownership of their responsibilities, manage a varied workload effectively and provide a consistently professional and helpful service to colleagues and clients.
Key Responsibilities

Providing general administrative support across all departments within the firm.
- Maintaining the tidiness, cleanliness and presentation of meeting rooms and communal areas.
- Ensuring meeting rooms and communal areas are appropriately stocked and replenished.
- Answering and directing incoming telephone calls promptly and professionally.
- Providing relief reception cover when required.
- Arranging and processing tracked and special deliveries and organising couriers.
- Scheduling and organising appointments.
- Distributing emails, correspondence, memoranda, letters and forms.
- Undertaking photocopying, scanning and printing duties.
- Maintaining accurate electronic filing systems.
- Ordering office and kitchen supplies, ensuring sufficient stock is maintained and researching new suppliers and deals.
- Acting as a point of contact and providing general support to internal and external clients.
- Liaising with senior and executive management to respond to requests and queries.
- Organising and franking outgoing post and ensuring the relevant log is kept up to date.
- Assisting with obtaining information required to complete client files, including through telephone enquiries where required.
Undertaking any other reasonable job-related duties as directed by your manager.

What You'll Bring
You'll have previous experience in an administrative or office-based role and be comfortable managing a varied workload within a professional environment.
You'll have a keen eye for detail and take pride in producing accurate work. You'll be confident dealing with people at all levels, including senior members of staff, and have a professional and approachable manner when dealing with both internal and external clients.
You'll be organised, proactive and able to manage competing priorities effectively, while taking ownership of your work and using your initiative to resolve issues.

Previous experience in an administration, office support or similar role.
- Experience working within a professional office environment.
- Accurate written and numerical keyboard skills.
- Good working knowledge of Microsoft Office, including Excel and PowerPoint.
- Excellent time management and organisational skills, with the ability to prioritise effectively.
- A strong work ethic and professional approach.
- Excellent interpersonal and communication skills, with the confidence to communicate with people at all levels.
- Strong attention to detail and problem-solving skills.
