Receptionist
Nova Horizon Investment is expanding its operations from London into Birmingham, with the new Birmingham branch officially launching on 31 August 2026. This creates an opportunity to join the business from the beginning of its next stage of growth and become one of the key people helping establish the day to day running and professional presence of the new office.
As Receptionist, you will sit at the centre of the Birmingham workplace, welcoming clients and visitors while supporting colleagues across client services, consultancy and operations. We are ideally looking for someone who can start on 31 August 2026, allowing you to join the team from the official launch of the new branch and grow your knowledge of the business as the Birmingham operation develops.

Nova Horizon Investment provides financial consultancy and strategic planning services to individuals and businesses, supporting clients with areas including financial planning, forecasting, budgeting, cash flow management, investment strategy, risk management and wider commercial decision making.
The company has established its operations in London and is now expanding into Birmingham as part of its continued UK growth. The new Birmingham office will support client relationships, consultations, internal operations and future business development across Birmingham and the wider West Midlands.
Nova Horizon Investment also delivers financial education, professional workshops, client briefings, networking events and business conferences, creating regular interaction between clients, consultants and other professionals.
Because this is a new branch, the Receptionist will play an important part in establishing how the office operates from the outset. You will help create an organised, professional and welcoming environment while supporting the practical administration needed behind the scenes.
What You’ll Be Doing
- Welcome clients, consultants, suppliers, visitors and other guests arriving at the Birmingham office and provide a professional front of house experience.
- Answer incoming telephone calls, establish the nature of enquiries, take accurate messages and direct calls to the appropriate colleague.
- Monitor general office enquiries and shared email inboxes, ensuring messages are acknowledged and passed to the correct person or department.
- Coordinate meeting rooms for client consultations, internal meetings, interviews, briefings and scheduled appointments.
- Prepare meeting spaces before appointments and make sure reception, meeting rooms and shared client areas remain organised and presentable.
- Support consultants and client facing colleagues with diary coordination, appointment scheduling and meeting confirmations where required.
- Assist with the organisation of the new Birmingham office as the branch becomes established, including maintaining administrative processes and helping ensure everyday office requirements are covered.
- Receive post, documents, deliveries and parcels and arrange outgoing post, collections and courier services.
- Maintain accurate visitor records and follow company procedures when handling confidential client or business information.
- Support client onboarding administration by preparing documents, organising information and ensuring paperwork reaches the relevant internal team.
- Provide general administrative support including document preparation, printing, scanning, filing, data entry and maintaining electronic records.
- Update spreadsheets, contact records and internal systems accurately using Microsoft Office and other company platforms.
- Help coordinate client events, financial workshops, briefings and internal meetings through guest administration, communications, room preparation and practical support.
- Order stationery, refreshments and everyday office supplies and help monitor stock levels as the Birmingham branch grows.
- Work closely with colleagues across operations, client services, finance and consultancy when additional administrative support is required.
What We’re Looking For
- Strong verbal and written communication skills with a professional and approachable manner.
- Good customer service skills and the ability to communicate appropriately with clients, visitors, colleagues and external contacts.
- Strong organisation and time management with the ability to manage several responsibilities throughout the working day.
- Good attention to detail and a careful approach to administrative work, records and data entry.
- Confidence using computers, email and Microsoft Office, particularly Outlook and Word, with basic working knowledge of Excel.
- A reliable approach to attendance, punctuality and completing responsibilities consistently.
- Good judgement and discretion when working with confidential client information or internal company documents.
- The ability to work independently on regular responsibilities while remaining willing to support colleagues across the wider office.
- Comfortable joining a newly launched branch where processes and routines will continue developing as the Birmingham operation grows.
Previous experience within reception, front of house, office administration, customer service, hospitality, hotels, professional services or client services would be useful.
Direct Receptionist experience is welcomed but is not essential if you have strong transferable customer service and administrative skills and are ready to move into a professional corporate office environment.
