Job Summary
We are looking for a friendly, organised, and motivated individual to join our team as a GP Practice Support Staff Member. This is a fantastic opportunity to work at the heart of a busy and caring general practice, supporting both clinical and administrative functions. You will be the first point of contact for patients and visitors, whether in person or over the phone, ensuring that everyone receives a warm, professional welcome and an excellent standard of care.

KEY RESPONSIBILITIES
· Welcome all visitors and telephone callers professionally, ensuring a courteous and helpful first impression.
· Facilitating patient access to clinical care provided by the practice.
· Handle all incoming calls and patient interactions promptly and appropriately.
· Manage the flow of patients at reception for appointments, prescriptions, and queries.
· Accurately process repeat prescriptions within 2 working days.
· Support patients and carers in accessing appropriate services and information to improve their health and wellbeing.
· Maintain accurate records and support the administrative needs of clinical and non-clinical staff.
· Ensure smooth day-to-day functioning of the practice through effective collaboration and communication.
KEY TASKS
Reception Duties
· Follow the unlocking/opening procedure and complete AM checklist.
· Greet and check in patients courteously.
· Respond to patient enquiries (in person, via telephone or email) efficiently and respectfully.
· Manage appointment bookings using EMIS.
· Process repeat prescriptions and forward them to the in-house pharmacist.
· Receive and record telephone messages; liaise with clinicians as appropriate.
· Handle home visit requests and explain charges for private services when necessary.
· Receive and log specimens in compliance with Health & Safety protocols.
· Keep waiting areas tidy and welcoming, regularly sorting magazines and leaflets.
Clinical Duties
· Work as part of the primary care team, coordinating care between GPs, practice nurses, clinical pharmacists and social prescribing link worker.
· Help patients to manage their needs through answering queries, being a first point of contact in the practice.
Administrative Duties
· Follow all practice policies, protocols and procedures.
· Register new patients according to the New Patient Registration Protocol.
· Scan and file documents to patient records daily.
· Open, date-stamp and distribute practice post.
· Update patient records (e.g., address or contact details) in EMIS.
· Send letters and make photocopies of notes or forms as required (e.g., consent forms, appointment cards).
· Provide general administrative support to GPs, nurses, and other clinical staff.
Other Duties
· Provide cover for colleagues during absence due to sickness or annual leave.
· Secure the premises at the end of the day, switching off lights and activating alarms.
· Carry out other reasonable duties as requested to ensure smooth practice operations.
Confidentiality
· Maintain strict confidentiality of all patient and practice information in accordance with policies and legal obligations.
· Share sensitive data only with authorised individuals and for legitimate purposes.

· Comply with all health and safety protocols, including infection control.
· Use personal safety systems as required.
· Identify, report, and manage risks in the workplace.
· Maintain hazard-free, clean work and patient areas.
· Participate in relevant safety training and knowledge updates.

Pay: £13.00 per hour
