We are currently seeking a detail-oriented and highly organised Coordinator to join our Maintenance Team based at our office in Over, Cambridgeshire.
The successful candidate will play a key role in supporting the day-to-day operations of the department, handling a variety of administrative tasks, managing enquiries, and ensuring internal systems are maintained effectively. This role is 41.5 hours per week; Monday – Thursday 08:00–17:00, Fridays 08:00–16:00.
Main Responsibilities will include:
- Deliver excellent customer service, handling all enquiries courteously and efficiently
- Answer incoming telephone calls, demonstrating a professional and confident telephone manner
- Manage the department inbox, ensuring all communications are responded to in a timely manner
- Log and assign client enquiries to the appropriate team members
- Set up and update job enquiries within the CRM system (Simpro), ensuring all information is accurate and up to date
- Maintain and update internal systems and portals
- Assist with clerical duties, including scheduling appointments and managing calendars
- Maintain and regularly audit the supplier and subcontractor database, ensuring all records and compliance documentation are current
- Provide and support the wider team with general administrative support, including filing, scanning, and document management
To be considered for this position, you must have:
- Proven experience in a coordinator/administrative role
- Ability to work both independently and collaboratively within a team
- Strong multitasking skills with the ability to prioritise and meet deadlines in a fast-paced environment
- Excellent organisational skills with a high level of attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience using CRM systems (experience with Simpro would be highly advantageous)
- Previous experience within a construction, maintenance, or property environment would be beneficial
- Strong verbal and written communication skills
- Ability to handle sensitive information with discretion and confidentiality
