We are seeking an organised, proactive, and professional Property & Lettings Administrator to join our friendly team. This is an excellent opportunity for someone with strong administrative skills who enjoys working in a fast-paced office environment and building positive relationships with clients.
The Role
Supporting the day-to-day running of our busy office, you will play a key role in ensuring administrative processes are completed efficiently while providing excellent customer service to landlords, tenants, buyers, sellers, and contractors.
Key Responsibilities
Administration & Customer Service
- Provide a professional and friendly service in person, by telephone, and via email.
- Manage general office administration, including filing, data entry, record maintenance, and correspondence.
- Handle enquiries from landlords, tenants, buyers, sellers, and contractors.
- Maintain accurate databases and property records.
- Coordinate and arrange appointments for viewings, inspections, valuations, and contractor visits.
Lettings & Property Administration
- Prepare tenant check-in documentation and tenancy paperwork.
- Assist with tenant referencing and compliance checks.
- Maintain tenancy records, rent schedules, and property information.
- Support end-of-tenancy administration, including deposit returns.
- Liaise with landlords regarding tenancy matters and rent reviews.
Compliance & Repairs Administration
- Arrange and monitor compliance certificates, including Gas Safety, Electrical Inspections, and EPCs.
- Liaise with contractors to ensure inspections and certification deadlines are met.
- Log repair requests and communicate with tenants, landlords, and contractors to monitor progress through our industry platform.
Marketing Support
- Assist with online property listings and window displays.
- Help manage company social media platforms.
About You
Essential
- Excellent communication and organisational skills.
- Strong attention to detail.
- Good IT skills and confidence using Microsoft Office.
- Ability to work independently and as part of a team.
- Professional and proactive approach.
- Previous experience in administration.
Desirable
- Previous experience in administration, estate agency, lettings, or property management.
- Housing or property-related qualification.
- Full UK driving licence and access to a vehicle.
Salary & Benefits
- Salary dependent on experience.
- 25.6 days annual leave inclusive of Bank Holidays (pro rata if applicable).
