We are looking for a highly organised and proactive Personal Assistant to provide dedicated support to our Procurement Director while contributing to the smooth running of our Leeds office.
Role overview
This is a varied, hands-on role at the heart of the business. You will help the Procurement Director stay organised, informed and focused by managing their diary, inbox, meetings, travel and follow-up actions. You will also coordinate projects, prepare reports and presentations, maintain key business information and work closely with the Executive Assistant on office operations and company events. The role would suit an experienced PA or business support professional who enjoys taking ownership, anticipating what is needed and making sure both important priorities and everyday details are handled well.
Executive Support
▪ Manage the Procurement Director’s inbox, prioritising messages, responding where appropriate and highlighting matters requiring attention.
▪ Manage a busy diary, coordinating appointments and prioritising meeting requests. ▪ Arrange business travel, accommodation and itineraries.
▪ Prepare agendas and supporting papers for meetings chaired by the Director.
▪ Take accurate meeting notes and circulate decisions and action points promptly.
▪ Monitor agreed actions and deadlines, following up with colleagues to maintain progress.
▪ Act as a trusted point of contact between the Director and colleagues across the business.
▪ Handle sensitive and confidential information with discretion.
Projects & business support
▪ Coordinate selected operational improvement projects, tenders, client-related activities and internal initiatives.
▪ Maintain project plans, monitor deadlines and deliverables, and provide clear progress updates.
▪ Conduct research and prepare reports, presentations and other business documents.
▪ Maintain the company scorecard and ensure KPI information is accurate and current.
▪ Raise purchase orders and administer cash purchases in line with company procedures.
▪ Support new-starter onboarding and employee offboarding.
▪ Maintain accurate, accessible and up-to-date records and documents.
▪ Add new products to the company’s ERP system and website when required.
Office & team support
▪ Work closely with the Executive Assistant on shared business and office priorities.
▪ Help plan and deliver company events, including all-staff meetings, sales call days and exhibitions.
▪ Coordinate internal announcements and cascade communications.
▪ Assist with preparation for sales appointments.
▪ Monitor and replenish office stationery, refreshments and canteen supplies.
▪ Support preparations for ISO and other business audits.
▪ Provide occasional telephone cover and respond professionally to enquiries.
▪ Undertake occasional local business errands by car, including delivering post, banking cheques and collecting documents or supplies.
What success looks like in this role:
▪ The Procurement Director’s diary, inbox and travel are managed efficiently and proactively.
▪ Meetings are properly prepared, with decisions and actions recorded and communicated promptly.
▪ Agreed actions, projects and deadlines are tracked effectively, with potential delays identified early.
▪ Reports, presentations, scorecards and KPI information are accurate and delivered on time.
▪ Communication between the Director and the wider business is clear and well-coordinated.
▪ Office and company activities are organised effectively and run smoothly.
▪ Confidential and sensitive matters are handled with consistently sound judgement.
Essential
▪ Previous experience as a PA, EA or in a comparable business support role.
▪ Excellent organisational skills and the ability to manage competing priorities calmly.
▪ Strong written and verbal communication skills.
▪ A proactive approach, with the confidence to anticipate needs and take ownership.
▪ Excellent attention to detail and reliable follow-through.
▪ Sound judgement and a high level of discretion.
▪ Strong working knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
▪ Confidence learning and using business systems.
▪ A full, valid UK driving licence and the ability to undertake occasional local business journeys.
DESIRABLE
▪ Experience coordinating projects or business improvement initiatives.
▪ Experience working with CRM, ERP or procurement systems.
▪ Experience preparing management reports, presentations or KPI information.
▪ Experience supporting audits, tenders or company events.
▪ Previous experience in a procurement, distribution or fast-moving commercial environment
