Overview
We are seeking a motivated and detail-oriented Junior Administrator to join our team. This role offers an exciting opportunity to develop foundational administrative skills while supporting daily office operations. As a Junior Administrator, you will play a vital part in ensuring smooth workflow, maintaining organized records, and providing excellent support across various departments.
*Key Tasks and responsibilities – Sales Team
· Answer and direct phone calls to the relevant areas.
· Administrative tasks such as filing, data entry and general office support.
· Typing of sales documentation for the team.
· Coordinate with internal teams such as engineering and technical to meet customer needs.
· Prepare and process quotes, sales orders, invoices, and purchase orders when required.
* Key Tasks and responsibilities – Legal Support
· Save, organise and maintain contracts, correspondence and other business documents within the appropriate electronic filing systems and online folders.
· Convert documents from PDF to Microsoft Word and ensure formatting, layout and branding are consistent and professional.
· Scan, copy, print and prepare documents as required.
· Organise electronic and hard-copy documentation into relevant files, ensuring records are accurate, up to date and easily accessible.
· Manage meeting room bookings, including room preparation and coordinating requirements for internal meetings and external visitors.
· Welcome and assist external visitors, ensuring a professional and positive experience.
· Handle confidential waste disposal and shredding.
· Maintain and update the vehicle database, ensuring records remain accurate and current.
· Assist with document retrieval and archiving when required.
· Monitor shared administrative inboxes and respond to or escalate queries as appropriate.
· Support general office administration tasks to ensure the smooth day-to-day operation of the office.
· Maintain confidentiality when handling sensitive information and company records.
Experience
Previous experience of working within a similar office environment would be beneficial.
Specific Skills:
· Proficiency in MS Office (MS Excel in particular).
· Excellent time management skills and the ability to prioritise work.
· Attention to detail and problem-solving skills.
· Excellent written and verbal communication skills.
· Strong organisational skills with the ability to multi-task.
