Persona: Agile Worker: 20% - 40% of contractual hours to be worked from reporting office/working location (hybrid working)

Join our Immediate Market Tenures Team at L&Q:
The Team Administrator will provide operational and administrative support across our London Living Rent (LLR), Right to Buy (RtB) and Key Worker Schemes (KWS), acting as a key point of contact for customers, colleagues and stakeholders. The role plays a vital part in supporting customers through their housing journey, maintaining accurate records and systems, and ensuring the smooth delivery of team operations. The successful candidate will also support internal teams and management by helping to maintain a compliant, well-managed and low-risk portfolio. This includes ensuring records are accurate and up to date, supporting governance and audit requirements, monitoring key processes and assisting the team in meeting regulatory, policy and service standards. Your impact in the role:
Team Contribution & Customer Service
- Support the achievement of team objectives and contribute to delivering an excellent customer experience in line with L&Q's values.
- Act as a key point of contact for customers, residents and stakeholders, responding to enquiries and resolving issues wherever possible.
- Build positive and effective relationships with internal and external stakeholders.
- Support operational teams and managers in delivering a compliant, customer-focused and well-managed portfolio across London Living Rent, Right to Buy and Key Worker Schemes.
- Contribute to team performance and service improvements through a proactive and collaborative approach
Administrative Support & Business Processes
- Coordinate a range of operational and administrative activities across London Living Rent, Right to Buy and Key Worker Schemes.
- Accurately maintain customer, tenancy and property records across relevant systems.
- Support critical business processes that contribute to effective portfolio management and service delivery.
- Support business processes including invoice processing, purchase orders and general team administration.
- Assist with reporting, data management and monitoring service performance, helping managers identify trends, risks and actions.
- Attend site offices and operational locations at least once per week, with additional travel required to support business needs.
Collaboration with Stakeholders
- Work closely with colleagues, customers, contractors and external partners to support the effective delivery of services.
- Develop strong working relationships across Immediate Market Tenures and wider L&Q teams.
- Support managers and operational colleagues by providing accurate information and administrative oversight to inform decision making.
- Ensure enquiries are managed efficiently and escalated appropriately where necessary.
Compliance & Governance
- Support the team in maintaining a compliant and low-risk portfolio through effective administration and accurate record management.
- Ensure activities are completed in accordance with L&Q policies, procedures and regulatory requirements.
- Support governance, audit and compliance activities through accurate record keeping and administration.
- Monitor key actions, compliance requirements and deadlines, escalating concerns where appropriate.
- Identify and escalate risks, issues or service concerns that could impact customers, service delivery or portfolio performance
Record Keeping & Systems Management
- Maintain accurate and up-to-date records across relevant business systems.
- Ensure data integrity and support the delivery of accurate management information and reporting.
- Monitor data quality and support reporting requirements.
- Ensure customer and operational information is managed in line with data protection requirements and organisational standards.
Support audit readiness by ensuring records, documentation and systems remain accurate, accessible and compliant.

What you'll bring:
- Experience working within a busy administrative, operational or customer service environment.
- Excellent organisational skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and commitment to maintaining accurate records and data.
- Strong communication skills and confidence working with colleagues, customers and stakeholders at all levels.
- Ability to identify issues, monitor actions and support the effective management of operational risk.
- Experience using systems and data to support service delivery, reporting and decision-making.
- Strong working knowledge of Microsoft Office, including Outlook, Word, Excel and Teams.
- A proactive approach to problem solving and continuous improvement.
- A commitment to delivering excellent customer service and supporting positive customer outcomes
Additional Requirements: ·
- A flexible and proactive approach to work, with the ability to adapt to changing priorities and business needs.
- Ability to travel to L&Q site offices and operational locations at least once per week, with additional travel required where business needs dictate. A strong commitment to delivering excellent customer service and positive customer outcomes.
- Confidence handling sensitive and confidential information with discretion and professionalism.
- Ability to identify, escalate and support the resolution of operational, compliance and customer risks.

- Willingness to continuously develop skills, knowledge and expertise within housing operations and affordable housing products.
- A collaborative approach, with the ability to build strong working relationships across teams and with external stakeholders.
- Experience within housing, property, customer operations or a regulated environment would be advantageous but is not essential.
- A willingness to take ownership of tasks and see them through to completion, ensuring deadlines, compliance requirements and service standards are achieved.
