Job Title: Administration Assistant
Hours of work: 20 hours Tuesday to Friday 10:00am 3:15pm (includes 15 min break)
Location: 21-25 Viewley Centre, Hemlington
Reports to: Operations manager
Job Summary
The Charity Support Assistant will provide efficient administrative and operational support for the daily running of the charity’s Eco and Home from Home shops, activities, and general office functions.
The postholder will help maintain accurate records, support staff and volunteers, assist with customer and community enquiries, and contribute to the smooth running of the charity while promoting sustainability, inclusion, and community engagement.
Key Duties and Responsibilities
- Provide day-to-day administrative support to the charity team
- Maintain accurate records, files, databases, and registers
- Answer telephone calls, emails, and customer enquiries in a friendly and professional manner
- Prepare letters, reports, spreadsheets, and other documentation as required
- Assist with data entry and updating stock, donation, and volunteer records
- Monitor office and shop supplies and place orders when required
- Assist with pricing documentation and stock administration
- Provide reception duties, welcoming visitors, customers, volunteers, and service users and directing them appropriately
- Help organise volunteer schedules, attendance records, and volunteer hour tracking including ensuring all relevant documentation is stored securely and accurately
- Assist with volunteer recruitment administration and onboarding processes
- Support the management team with administration, diary management, and email management
- Support the CEO in maintaining the funding application register and following up outstanding actions
- Establish, maintain, and develop positive relationships with external partners and arrange meetings where required.
- Oversee the smooth running of the Warm Welcome Wednesday sessions, including maintaining attendance registers, arranging guest speakers and activities, and ensuring volunteer support is in place where possible
- Support the Operations Manager with the planning and delivery of HAF activities
- Provide information about donations, shop services, charity activities, and community projects
- Help resolve basic customer issues or direct enquiries appropriately
- Support fundraising events, campaigns, and community initiatives
Support the charity’s environmental and sustainability objectives
- Follow GDPR, confidentiality, safeguarding, and charity policies and procedures
- Support and follow health and safety procedures within the workplace
- Offer support and guidance to volunteers working alongside the Operations Manager
- Support the wider team with day-to-day service delivery as required

Qualifications and Experience:
- Experience of working within the voluntary or charity sector preferred
- Good working knowledge of Microsoft Office packages
- Experience handling confidential information
- Experience working in an administrative, customer service, or community-focused environment is desirable

Pay: £12.71 per hour
