About the Role
We are seeking a reliable, organised individual to join our team as an Apprentice Property Assistant in our Hove office. This is a fantastic opportunity to earn a wage while working towards a nationally recognised qualification, gaining practical experience in property and construction administration alongside structured, formal training in document control, office management, and business administration.
You will work towards the Level 2 Administration Assistant apprenticeship standard, combining hands-on experience in the office with off-the-job training delivered by an approved training provider. On successful completion, you will hold a recognised qualification and have a genuine pathway to progress within the organisation, including the option to continue onto a Level 3 Business Administrator apprenticeship.
Key Responsibilities
- Document control and filing systems management
- Preparation and distribution of project correspondence and reports
- General office administration and scheduling
- Data entry and maintenance of project records
- Support with meeting arrangements and minute-taking
- Filing, scanning, and digitising project documents
- Assisting with project inductions and site support materials
- Maintaining organised filing systems (physical and digital)
- Supporting team members with administrative tasks
- Updating and maintaining shared databases and spreadsheets
- Photocopying, printing, and document reproduction
- General reception duties and telephone support
- Post and courier management
- Supplies and stationery ordering
- Supporting the team with various ad-hoc tasks
Essential Requirements
- GCSE passes in English and Maths at grade 4 (C) or equivalent (or willingness to undertake Functional Skills as part of the apprenticeship)
- Keen to learn with a proactive, positive attitude
- Strong organisational skills and attention to detail
- Reliable and punctual
- Ability to follow instructions and ask for clarification
- Basic IT literacy (Microsoft Office – Word, Excel, Outlook)
- Good communication skills (verbal and written)
- Willingness to work as part of a team
- Professional approach to working in a business environment
- Commitment to attending off-the-job training (typically one day per week or block release, as arranged with the training provider)
- Must not already hold a qualification at the same level or above in a related subject (in line with apprenticeship funding rules)
Desirable
- Previous office or administrative experience
- Experience with document management systems
- Knowledge of construction or property industry (not essential)
- Additional IT skills (SharePoint, project management software)
- Customer service experience

Training & Development
This apprenticeship is delivered in partnership with an approved training provider and leads to the Level 2 Administration Assistant apprenticeship standard. Training covers:
- Principles of business document production and information management
- Secure data handling, storage, and GDPR/data protection compliance
- Effective communication in a business environment
- Information and data processing, record-keeping, and IT systems
- Diary, resource, and meeting management (including minute-taking)
- Managing personal performance and professional development
- Understanding organisational structures and stakeholder relationships
- Functional Skills in English and/or Maths (if required)
You will be assessed through a mix of workplace evidence, coursework, and an end-point assessment, with regular reviews involving your workplace mentor and training provider throughout the 12-month programme.
