Job Title: IFA Administrator – 12 Month Contract (Full-time or Part-time)
Salary: Up to £30,000 Basic + Company Bonus
Location: Norwich, Hybrid – minimum 2 days per week in the office

Due to an upcoming requirement within the team, they are looking to recruit an experienced IFA Administrator on an initial 12-month contract, with the potential of this becoming a permanent role. This is an excellent opportunity for an experienced financial services administrator to join a professional financial planning environment and provide valuable support to Financial Planners and the wider Client Support team.
The role will have a particular focus on the client review process, ensuring that review meetings are prepared accurately and efficiently, with all required information and documentation available ahead of the meeting. Alongside the review process, the role will provide broader administrative support across pensions, investments, protection and life business, giving you exposure to a varied range of financial planning activity.

Working Hours:
- Monday – Friday, 9am – 5pm
- Full-time or Part-time
- Hybrid working available, Minimum 2 days per week office-based, with the remaining working days available remotely
Desired Experience:
The ideal candidate will have previous experience within financial services administration, preferably supporting Financial Planners, Financial Advisers or a Wealth Management team.
Essential:
- Minimum 12 months’ experience within financial services administration
- Good understanding of the financial planning process
- Working knowledge of pensions, investments and protection products
- Experience preparing client documentation, valuations and review packs
- Experience dealing with providers, platforms and clients
- Good understanding of financial services back-office and workflow systems
- Strong organisational skills with the ability to manage deadlines and competing priorities
- Excellent attention to detail and a high level of accuracy
- Strong written and verbal communication skills
- Ability to work independently while knowing when to escalate more complex queries
- Professional, calm and methodical approach, particularly when working to tight deadlines
Desirable:
- Experience supporting Financial Planners or Financial Advisers within an IFA environment
- Experience with client review processes
- Experience using investment and pension platforms
- Certificate in Financial Services Administration or working towards a relevant qualification
- RO1 or equivalent qualification
Responsibilities & Duties:
Client Review Administration
- Prepare accurate client valuations and comprehensive review packs ahead of scheduled client meetings
- Ensure review documentation is complete, accurate and presented to a high professional standard
- Obtain and interpret information from pension, investment and other product providers and platforms
- Liaise with clients and providers to obtain missing or updated information ahead of reviews
- Prepare files and supporting documentation for Financial Planners
Post-Review Processing & Workflow
- Process paperwork and documentation following client review meetings
- Accurately record client information, meeting notes and agreed actions
- Allocate and book post-review actions into the company's workflow system for Client Support and Senior Client Support to progress
Financial Planning Administration
- Provide day-to-day administrative support to Financial Planners
- Support life, pension, investment and protection business
- Process new business and ongoing servicing through approved platforms and back-office systems
- Prepare client files, valuations and documentation for new business and review meetings
- Liaise with clients, providers, insurers and third parties via telephone, email and written correspondence
Compliance & Record Keeping
- Ensure client files and documentation are maintained accurately and in accordance with internal procedures
- Ensure all administration is completed in line with FCA requirements and company compliance standards
- Maintain accurate and up-to-date client records
- Follow Consumer Duty, Treating Customers Fairly, financial crime and anti-money laundering procedures
- Ensure all client and workflow information is recorded clearly and accurately
