Responsibilities
- Take responsibility for day-to-day management of the CEO's diary, ensuring appointments, meetings, visits and commitments are scheduled efficiently and appropriately.
- Arrange and coordinate meetings on behalf of the CEO, including liaising with the internal and external stakeholders, identifying suitable dates and times, booking rooms and arranging any required refreshments or equipment.
- Lead and coordinate the day-to-day reception function.
- Provide guidance to reception colleagues and oversea Business Administrative Apprentice(s).
- Support the effective flow of information between the CEO, senior leadership team, staff and external stakeholders, ensuring messages and enquires are dealt with promptly and appropriately.
- Oversee reception-related administration, including telephone calls, correspondence, visitor management, room bookings, records, supplies and other relevant administrative systems.
- Maintain high standards of customer service, professionalism and presentation, always reflecting the values and reputation of the charity.
Health and Safety
- Carry out Health and Safety procedure, ensuring compliance with Health and Safety standards in all areas.
- Responsibility for day-to-day Health and Safety
Other responsibilities
- The principle role and responsibilities will change from time to time and the post holder is required to undertake any additional duties as deemed appropriate.
- Staff are required to participate in training, meetings or conference considered relevant to the job.
- Staff must carry out their duties with full regard to the rules, policies and procedures and conditions of service contained in the staff handbook.
Experience
- Proven office experience with a focus on front desk or administrative duties
- Strong organizational skills with the ability to multitask efficiently in a busy environment
- Excellent communication skills—friendly tone combined with clear articulation—both in person and over the phone
- Familiarity with office management software and basic administrative tools
- Previous experience in a customer-facing role is highly desirable
- Knowledge of office procedures and administrative best practices

Pay: From £12.71 per hour
