We are a well-established and respected meat wholesaler supplying premium products to the catering, hospitality and foodservice sectors. We are looking for an organised, proactive and detail-oriented Sales & Systems Administrator to support our sales, pricing, customer service and business systems.
This is a varied role that combines sales administration, pricing management, ERP systems administration, buying platform management and customer support. The successful candidate will work closely with the Sales, Purchasing, Finance and Operations teams to ensure our product information, pricing and customer systems remain accurate and up to date.
Key Responsibilities
Pricing & Product Administration
- Create new product codes and descriptions within Sage.
- Allocate new products to customer price lists.
- Prepare product information for pricing updates.
- Update customer price lists within Sage, including Catering, Premium, Regency, Vista, Harbour Hotels, Casa Brazil, Absolute Food and Staff Meat.
- Maintain pricing within Procure Wizard and Upham Brewery systems.
- Update printable catering price lists for the sales team.
- Produce monthly pricing reports for Upham Brewery's procurement partner (Prestige), explaining pricing movements and market factors.
- Prepare monthly, quarterly, six-monthly and annual sales analysis for Prestige.
- Reconcile Prestige commission statements against monthly sales.
Buying Platform Administration
- Maintain buying platforms, including Procure Wizard.
- Add and remove products as required.
- Update pricing, allergens and nutritional information.
- Ensure product information complies with Natasha's Law and food information regulations.
Sales Administration
- Process customer sales orders accurately and efficiently.
- Support the sales team by handling overflow telephone enquiries.
- Manage and process orders received via the catering inbox between 8:00am and 4:00pm.
- Produce ad hoc sales reports to support promotions, stock management and sales activity.
- Identify previous purchasers of promotional products and provide sales data for limited stock items.
Invoicing Support
- Provide product codes and pricing information to colleagues during invoicing.
- Assist with wholesale invoicing during busy periods or when additional support is required.
Home Delivery Administration
- Provide holiday and absence cover for the Home Delivery Administrator.
- Process and enter home delivery orders into company systems.
- Produce delivery schedules, production reports and planning reports for the night production team.
Website & Online Buying Portals
Home Delivery Website
- Maintain online product listings.
- Upload new products.
- Update pricing as required.
- Ensure all product information remains accurate and current.
About You
We're looking for someone who is highly organised, enjoys working with data and systems, and takes pride in delivering excellent customer service.
You'll ideally have:
- Previous experience in sales administration, commercial administration or office administration.
- Experience using ERP systems such as Sage or similar business management software.
- Strong Microsoft Excel and Microsoft Office skills.
- Excellent attention to detail and a high level of accuracy.
- Strong organisational and time management skills.
- Excellent communication and customer service skills.
- The ability to prioritise multiple tasks in a fast-paced environment.
- Confidence working across several software platforms.
- A proactive and collaborative approach.
Desirable Experience
- Experience within the meat, food manufacturing, foodservice or wholesale distribution industry.
- Knowledge of buying portals such as Procure Wizard.
- An understanding of product specifications, allergens and Natasha's Law.
- Experience maintaining online product catalogues or e-commerce platforms.

Pay: £30,000.00-£34,000.00 per year
