Job Overview
We are seeking a organised and detail-oriented Facilities Contracts / Admin Assistant to support our administrative and contractual operations. This role involves managing various clerical tasks, maintaining accurate records, and assisting with contract administration within a professional office environment. The ideal candidate will possess strong computer skills, excellent organisational abilities, and prior office experience. This position offers an opportunity to contribute to the smooth running of our facilities management team while developing valuable administrative skills.
Duties
- Assist with the preparation, organisation, and management of facilities contracts and documentation
- Handle data entry tasks accurately using Microsoft Office and other applications
- Maintain organised electronic and physical filing systems for contracts, invoices, and related documents
- Support invoicing processes using Sage and other accounting software
- Respond professionally to phone enquiries, providing excellent phone etiquette and customer service
- Schedule appointments and coordinate meetings related to facilities management
- Perform general administrative duties such as photocopying, scanning, and distributing correspondence
- Update and maintain databases with relevant contract information and supplier details
- Assist with procurement activities by processing purchase orders and tracking deliveries
Experience
- Previous office experience or administrative background is preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is preferred
- Experience within finance and excel is preffered
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent typing speed and data entry accuracy are required
- Good telephone etiquette and professional communication skills are necessary
- Familiarity with clerical procedures and basic contract administration will be beneficial

This is a temp to perm role, starting with Part time hours and will increase to Full time hours for the right candidate.
