About the Role
Snap Air Conditioning is a busy, fast-growing HVAC specialist. We pride ourselves on delivering excellent service to our clients, and our back-office team keeps the whole engine running smoothly. We’re looking for an organised, proactive Office Assistant to join our friendly team in Rhiwbina, Cardiff on a part time basis and help us stay on top of our daily admin.
This is a hands-on role covering the day-to-day financial admin and job coordination that keeps the business running smoothly. It's office-based, initially part-time, with scope for the hours to grow as the role develops — a good fit for someone who wants flexibility now with room to take on more over time.
Key Responsibilities
- Process purchase orders and supplier invoices accurately and on time
- Handling incoming phone calls and directing to the correct team member
- Check supplier statements against uploaded invoices to identify discrepancies
- Set up and maintain job paperwork, ensuring documentation is complete and filed digitally
- Assist with scheduling engineers/jobs and coordinating diary bookings
- Set up new jobs from initial instruction through to completion
- Prepare and send paperwork to customers and suppliers as required
- Respond to customer emails promptly and professionally, resolving queries or routing them appropriately
- General office administration to support the smooth running of the business
- Managing office supplies and keeping the workspace organised.
- Providing general administrative support to ensure our engineers and project managers have what they need.
What We're Looking For
- Previous experience in an accounts or admin support role (trades/construction/M&E sector experience an advantage but not essential)
- Experience using Xero is desirable
- Confident working with spreadsheets (Excel, Google Sheets, or similar) — training on Numbers/Pages will be provided, prior experience not required
- Comfortable working with invoices, POs, and statement reconciliation
- Strong attention to detail — this role involves catching discrepancies before they become problems
- Good written communication for customer-facing email correspondence
- Able to work independently, prioritise a varied workload, and use initiative
- Reliable and punctual — this is an office-based role, not remote
- Proactive attitude - able to see what needs to be done without being asked
- Ideally able to commit to the Mon/Thu training schedule for the first month, moving to Mon/Tue thereafter but don’t let this put you off applying if you can only accommodate Mon/Tues.
