About the Role
We’re looking for a highly organised Operations Administrator who thrives in a fast-paced environment and has exceptional attention to detail.
This is a key role at the heart of the business, ensuring operations run smoothly, job information is accurate, and customers receive excellent service. From coordinating engineers and processing job variations to supporting customer journeys and maintaining accurate records, your work will directly impact service delivery and customer satisfaction.
This isn’t just a desk job – it’s a vital operational support role where your organisation, accuracy, and proactive approach will make a real difference every day.
Key Responsibilities
- Allocate work to engineers and ensure schedules run efficiently.
- Monitor and support performance to ensure KPIs are met in line with customer agreements.
- Maintain clean, organised, and up-to-date records across all systems.
- Act as the first point of contact for customers, providing friendly and professional support via phone and email.
- Guide customers through their journey, keeping them informed and updated at every stage.
- Maintain and update customer records accurately.
- Price work and submit quotes or variations to clients for approval.
- Build strong working relationships with engineers to support smooth communication and service delivery.
- Act as a key link between customers, engineers, and internal teams to ensure everyone has the right information at the right time.
- Accurately input job details, engineer reports, photos, and supporting documentation into the job management system.
- Review jobs to ensure all required information is captured and submitted in line with contract requirements.
- Support the finance team by ensuring job data is accurate for invoicing, reporting, and reconciliation.
- Work closely with engineers and operations teams to clarify job details and resolve any missing information.
Essential Skills & Experience
- Exceptional attention to detail with a methodical approach to data entry and record keeping.
- Strong organisational and time management skills, with the ability to manage multiple priorities.
- Confident IT skills including Microsoft Excel, Word, and Outlook.
- Ability to remain calm and efficient in a fast-paced operational environment.
- Minimum 2 years’ experience in an administrative, data, or business support role.
- GCSE level Maths & English.
Desirable Experience
- Experience within drainage, utilities, construction, housing, or property services.
- Experience handling job variations, costing, or invoice support.
- Knowledge of council contract requirements, ISO standards, or compliance frameworks.
