Overview
We are seeking a proactive and highly organized Personal Assistant to support our Director in managing daily operations and ensuring smooth workflow. This dynamic role offers an exciting opportunity to work closely with senior leadership, providing essential administrative support that drives efficiency and productivity. Responsibilities
- Manage the Director’s calendar, scheduling appointments, meetings, and travel arrangements with precision and foresight
- Handle all incoming correspondence, including emails and phone calls, demonstrating excellent phone etiquette and professionalism
- Prepare and organize documents, reports, presentations, and data entries using Microsoft Office and Google Workspace tools
- Coordinate logistics for meetings, events, and conferences, ensuring all materials and arrangements are in place
- Maintain accurate records through diligent data entry and clerical work, utilizing QuickBooks or similar accounting software when necessary
- Assist with miscellaneous administrative tasks such as filing, photocopying, and office supply management to support overall office efficiency
- Act as a liaison between the Director and internal/external stakeholders, fostering clear communication and positive relationships
Qualifications
- Proven administrative experience with a strong background in office management or support roles
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and familiarity with QuickBooks is preferred
- Strong data entry skills with high accuracy and attention to detail
- Previous clerical experience including filing, document preparation, and record keeping
- Exceptional phone etiquette combined with clear verbal communication skills
- Fast typing skills to handle correspondence efficiently
- Experience working in an office setting with excellent organizational and multitasking abilities
