We are seeking a dynamic and organised Medical Receptionist/Administrator to join our healthcare team. In this vital role, you will be the first point of contact for patients and visitors, ensuring a welcoming and efficient experience. You will manage appointment scheduling, handle administrative tasks, and support the smooth operation of the medical practice. Duties
- Greet patients and visitors warmly, creating a positive first impression
- Schedule, confirm, and reschedule patient appointments using clinic management software
- Manage incoming phone calls, inquiries, and patient communications promptly and professionally
- Maintain accurate patient records, update personal information, and ensure confidentiality
- Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
- Assist with administrative tasks such as filing, scanning, and data entry
- Coordinate with medical staff to ensure smooth daily operations and patient flow
- Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies
- Maintaining and monitoring the practice appointments system
- Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
Skills
- Strong organisational skills
- Previous administrative experience in a healthcare setting is not essential but highly desirable
- Excellent communication skills—friendly, clear, and professional in all interactions
- Ability to multitask effectively in a fast-paced environment
- Proficiency with office software such as MS Office Suite
- Attention to detail with a focus on accuracy and confidentiality
- Positive attitude with a proactive approach to problem-solving
- Excellent team working skills
