We are looking for an experienced and highly organised Admin / Office Manager to join our management team and take responsibility for the day-to-day running of our office, management of the Administration team and coordination of operational activities.
This is a key management position requiring someone who is confident managing people, workloads, client requirements and competing priorities within a busy repairs and maintenance environment.
The Role
As Admin / Office Manager, you will be responsible for ensuring the office operates efficiently and that our administration, scheduling and operational support functions are delivered to a high standard.
You will work closely with the General Manager, Operational Managers and Senior Planned Operations Managers, providing effective administration, planning, reporting and coordination across the business.
Key Responsibilities
Your main responsibilities will include:
- Managing the day-to-day running of the office and ensuring effective administrative processes are maintained.
- Line managing a team of Administrators, ensuring workloads are effectively allocated and completed.
- Supporting, coaching and developing members of the Administration team.
- Conducting monthly 1-to-1 meetings and contributing to annual performance appraisals.
- Managing the planning and scheduling of works, ensuring resources and appointments are effectively coordinated.
- Working closely with Operational Managers and the Senior Planned Operations Manager to monitor and manage diaries, movements, workloads and appointment schedules.
- Managing follow-on works, outstanding actions and the company's No Access processes.
- Monitoring work completion and ensuring outstanding works are appropriately followed up.
- Producing accurate weekly and monthly client performance reports.
- Ensuring company, client and operational mailboxes and client portals are monitored and managed daily.
- Managing customer and client complaints, ensuring they are recorded, investigated and responded to appropriately and within required timescales.
- Monitoring and managing Work in Progress (WIP) through regular reporting, planning and action.
- Identifying outstanding or ageing work and working with operational teams to bring jobs to completion.
- Supporting the General Manager with operational and performance reporting.
- Preparing information and reports for management meetings.
- Chairing relevant meetings, recording actions and monitoring completion.
- Assisting with the implementation and improvement of office procedures and administrative systems.
- Ensuring company and client processes are consistently followed.
- Providing general administrative and operational support to the management team as required.
About You
We are looking for someone who is experienced, proactive and highly organised, with the confidence to manage both people and processes within a fast-paced working environment.
The successful candidate will ideally have:
- At least 5 years' administration experience.
- Previous experience working within a social housing planned or responsive repairs environment.
- Experience managing and developing an administration team.
- Experience of works scheduling and planning.
- Experience managing WIP, outstanding works and performance targets.
- Strong organisational and time-management skills.
- Excellent written and verbal communication skills.
- The ability to communicate effectively with clients, customers, managers and operational staff.
- Experience producing management and client performance reports.
- The ability to analyse information, identify issues and take appropriate action.
- Experience managing complaints and customer service issues.
- Good IT skills and confidence working with Microsoft Office and client management/portal systems.
- The ability to work under pressure and manage competing priorities.
- A professional, positive and solution-focused approach.
- Strong attention to detail and a commitment to getting things right first time.
Experience within a housing repairs, construction, maintenance or facilities management environment would be an advantage.

Working Hours
Monday to Friday, 8:00am – 5:00pm, including a one-hour unpaid break.
Additional overtime and weekend working may be available when required.
