Role Overview
The Bid Coordinator plays a central role within our Passive Fire Protection pre‑construction team, supporting the successful conversion of opportunities into secured work. Reporting to the Head of Pre‑Contract, this role is responsible for coordinating the end‑to‑end bid process and producing high‑quality, compelling written submissions that clearly articulate our technical capability, experience, and value to clients.
This is a fast‑paced, detail‑focused position requiring strong organisational skills, excellent written communication, and the ability to manage multiple deadlines simultaneously. The role is ideally suited to someone who thrives in a structured but dynamic environment and takes pride in producing high‑quality, client‑focused documentation.
The successful candidate will act as the backbone of the bid process, ensuring everything runs smoothly, deadlines are met, and submissions are consistently professional, compliant, and competitive.
Key Responsibilities
Bid Coordination & Process Management
- Coordinate the bid process from enquiry through to submission, ensuring clear timelines, responsibilities, and deliverables.
- Maintain bid programmes, checklists, and trackers to ensure all activities are completed on time and to a high standard.
- Arrange and facilitate bid kick‑off meetings, progress reviews, and submission sign‑offs.
- Manage document control, ensuring all information is up to date, correctly formatted, and stored appropriately.
Bid Writing & Content Development
- Lead the preparation of high‑quality written responses for PQQs, ITTs, and proposals.
- Translate technical, operational, and commercial input from subject matter experts into clear, compelling, and client‑focused narrative.
- Develop tailored responses that align with client requirements, evaluation criteria, and win themes.
- Ensure consistency in tone, branding, and messaging across all submissions.
- Maintain and continually improve the bid content library, including case studies, CVs, and standard responses.
Quality & Compliance
- Review tender documentation to ensure submissions are fully compliant with client instructions and requirements.
- Support the Head of Pre‑Construction in embedding quality assurance processes, including peer reviews and final proofing.
- Ensure all submissions are professionally presented, error‑free, and delivered in line with client expectations.
- Support the preparation of internal governance in line with the business management system to ensure compliance to internal process.
Stakeholder Engagement
- Work closely with the Head of Pre‑Contract, estimators, technical leads, and operational teams to gather input and shape responses.
- Coordinate internal contributors, ensuring timely input and alignment with bid strategy.
- Engage with supply chain partners where required to obtain supporting information and documentation.
Client & Market Awareness
- Develop an understanding of our clients, sectors, and competitors to strengthen the quality of bid responses.
- Support the preparation of capability statements, presentations, and marketing collateral for client engagement activities.
- Contribute to post‑tender feedback analysis and continuous improvement of future submissions.
Person Specification
Skills & Experience
- Experience in bid coordination, bid writing, or similar role within fire, construction or a related industry (experience in passive fire or specialist subcontracting is advantageous).
- Excellent written communication skills with the ability to produce clear, concise, and persuasive content.
- Strong organisational and time management skills, with the ability to manage multiple deadlines concurrently.
- High attention to detail and a commitment to producing high‑quality work.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management systems.
