As a growing and continuously developing business, we are committed to improving our quality, service and product offering. We are now looking for an ambitious and motivated Office Administrator to join our growing team and play an important role within the business.
About the Role
This is a varied, hands-on administrative role within a small and friendly team. At Suscom, we encourage our employees to take a flexible approach and gain experience across different areas of the business rather than being restricted to a narrow set of duties.
The successful candidate will support the day-to-day running of the office, working closely with colleagues, customers and other departments. This is an excellent opportunity for someone looking to develop their career within an office environment and take on increasing responsibility as the company continues to grow.
The role will suit someone who is organised, confident using computers, comfortable working with numbers and spreadsheets, and able to manage a varied workload with accuracy and attention to detail.
Key Responsibilities
- Answering telephone calls and dealing with enquiries in a professional manner.
- Managing and responding to a high volume of emails.
- Using Microsoft Excel to prepare, maintain and provide information for customers and internal departments.
- Inputting and maintaining accurate information within company systems and spreadsheets.
- Raising sales orders, picking lists, packing lists and delivery notes.
- Assisting with invoicing and general administrative duties.
- Maintaining organised filing systems and ensuring paperwork is filed correctly.
- Providing administrative support to other departments when required.
- Covering for other team members during periods of absence or busy workloads which could include assisting with sales administration, purchasing and accounts-related tasks where required.
- Working collaboratively with colleagues to ensure customer requirements and deadlines are met.
About You
We are looking for someone who is:
- Confident using Microsoft Office, particularly Excel.
- Comfortable working with numbers and entering information accurately.
- Highly organised with excellent attention to detail.
- Able to prioritise tasks and manage competing workloads effectively.
- A good communicator, both verbally and in writing.
- Professional and confident when dealing with customers and colleagues.
- Proactive and willing to take responsibility for their work.
- Flexible and willing to assist across different areas of the business.
- Able to work independently while also being a strong team player.
- Quick to learn new systems and processes.
- Reliable and committed to completing work to a high standard.
Experience & Qualifications
- Previous office or administration experience is preferred but not essential.
- Excellent IT skills and good knowledge of Microsoft Office applications, particularly Excel.
- Good spelling, grammar and written communication skills.
- Familiarity with IT systems and software.
- Experience using Opera would be an advantage, although full training will be provided.
- Experience in sales administration, purchasing, accounts or general office administration would be advantageous.
- Sales or customer service experience would also be beneficial.
