School Administration Assistant – Independent SEND SchoolJob Purpose
To provide high‑quality administrative support across the school, ensuring smooth day‑to‑day operations and contributing to an organised, safe and welcoming environment for pupils with Special Educational Needs and Disabilities (SEND). The role supports senior leaders, teaching staff, therapists and families, helping the school run efficiently and in line with safeguarding and compliance requirements.
Key ResponsibilitiesAdministration & Office Support
- Act as the first point of contact for visitors, parents and professionals, providing a warm, professional welcome.
- Manage incoming calls, emails and enquiries, ensuring timely and accurate responses.
- Maintain pupil records, staff files and confidential documents in line with GDPR and safeguarding requirements.
- Support daily office tasks including filing, photocopying, data entry, and preparing documents.
- Assist with the organisation of meetings, training sessions and school events.
- Prepare letters, reports, newsletters and communication for families and external agencies.
SEND‑Specific Responsibilities
- Support the administration of Education, Health and Care Plans (EHCPs), annual reviews and multi‑agency meetings.
- Maintain accurate records of interventions, attendance, behaviour logs and safeguarding documentation.
- Assist with scheduling therapy sessions, specialist support and external professional visits.
- Help coordinate transport arrangements, medical information and personalised pupil timetables.
Attendance & Data Management
- Monitor daily attendance, follow up absences and maintain accurate attendance records.
- Produce attendance reports for senior leaders and external agencies when required.
- Support data collection for school census, safeguarding audits and compliance checks.
Finance & Resources (as required)
- Assist with ordering supplies, managing stock and processing invoices.
- Support budget tracking for classroom resources, therapy equipment and office materials.
Safeguarding & Compliance
- Uphold the school’s safeguarding policies at all times.
- Ensure all visitors follow safeguarding procedures, including signing in and wearing identification.
- Maintain confidentiality and handle sensitive information with professionalism.
Team Support
- Work collaboratively with teachers, support staff, therapists and senior leaders.
- Provide flexible support across the school during busy periods or staff absence.
- Contribute to a positive, calm and inclusive school culture.
Person Specification
Essential
- Experience in administration or office support.
- Excellent communication and interpersonal skills.
- Strong organisational skills and attention to detail.
- Ability to manage multiple tasks and work under pressure.
- Understanding of confidentiality, safeguarding and GDPR.
- Compassionate, patient and able to work effectively with children, families and professionals.
Desirable
- Experience working in a school or SEND environment.
- Knowledge of EHCP processes, attendance systems or school MIS software.
- First aid training or willingness to undertake training.
- Experience supporting multi‑agency work.
