We are seeking a versatile and proactive Assistant to join our team on a temporary basis. This is a dynamic role where no two days are exactly the same.
Overall Purpose of the Role:
The ideal candidate will be a versatile multi-functional operative, rotating across a variety of duties in line with daily business requirements within a fast-paced environment.
You will provide support across depot administration, yard operations, and logistics activities, ensuring the efficient movement of fleet assets and the timely delivery of site materials.
What you will be doing:
- Open and prepare the depot for daily operations, including unlocking gates, offices and fuel storage areas, reviewing equipment bookings, updating operational logs, and issuing fuel supplies to teams.
- Transport materials, equipment and traffic management assets between depots and construction sites, including the collection and return of surplus items upon project completion when required
- Carry out routine yard inspections to maintain site security, ensuring vehicles, machinery and trailers are secured, managing key control systems, and coordinating vehicle valeting activities.
- Maintain and update fleet and asset records, including location tracking, insurance verification, tracker information, and compliance documentation.
- Coordinate vehicle MOTs, servicing, repairs and maintenance schedules to ensure fleet availability and roadworthiness.
- Support O-Licence compliance activities, including tachograph downloads, driver infringement reporting, mileage collection and asset registration on internal systems.
- Monitor asset compliance and certification requirements, processing calibration records, undertaking in-house testing activities, and tracking upcoming expiry dates.
- Produce weekly fuel card and fuel usage reports, audit fuel records, and manage stock levels of consumables such as AdBlue, coolant and lubricants.
- Contact employees and operatives to retrieve expired, redundant or outstanding company assets.
- Issue booking reminders and support the offboarding process by collecting and reconciling returned equipment and assets.
- Prepare fleet performance reports and undertake asset and vehicle analysis to support operational decision-making.
- Respond to incoming telephone calls and email enquiries from internal stakeholders, suppliers and customers.
- Manage vehicle breakdowns, accident damage, insurance claims and the allocation of replacement hire vehicles.
- Deliver and collect vehicles and other company assets from depots, sites and external suppliers across the regions.
- Source and engage approved third-party suppliers, negotiating services where appropriate and establishing business accounts.
- Assist with insurance claims and liaise with the HSQE team.
- Maintain subcontractor records, ensuring kit inventories, certifications and compliance documentation remain current and accurate.
- Provide flexible support across fleet, stores, yard and administrative functions to meet the demands of a fast-paced operational environment.
What we ask from you:
- Adaptable & Flexible: You thrive in a busy environment where priorities shift, and you can “float” between stores, site and regional depots.
- Organised Administrator: Comfortable learning bespoke systems, working on Excel to an advanced level, and cross-checking compliance data.
- Proactive Operative: Willing to work outdoors in the yard, delivering to site, and perform vehicle checks.
- Travel: Able to travel frequently across our regional depots and sites.
- Drivers Licence: A valid UK driving licence is required to support asset and vehicle movements between depots/sites.
- Previous experience: In administration, fleet, logistics and transport
