About the Role
We are seeking a highly organised and proactive Contracts Assistant to support the day-to-day administration and coordination of multiple site contracts. This role is ideal for someone with strong administrative skills who can manage recruitment, onboarding, compliance documentation, workforce records and operational support across various sites.
The successful candidate will play a key role in ensuring that all personnel are recruited, onboarded and deployed efficiently whilst maintaining compliance with client and company requirements.
Key ResponsibilitiesCandidate Recruitment & Onboarding
- Recruit operatives to meet site labour requirements.
- Support candidate sourcing, screening and vetting processes.
- Ensure all required documentation is collected, verified and filed prior to deployment.
- Maintain and update the Starter Matrix and workforce records.
- Prepare and distribute Starter Packs to site teams.
- Arrange and coordinate site inductions for new starters and maintain attendance records.
Workforce Administration & Compliance
- Process daily attendance registers and timesheets accurately for payroll and reporting purposes.
- Record and monitor Tool Box Talks, medication declarations and other compliance documentation.
- Ensure all workforce records are maintained in line with company procedures and client requirements.
- Check, file and maintain safety inspections and audit documentation.
- Update workforce performance and scoring systems used to monitor labour standards and compliance.
Site & Contract Support
- Support the administration of multiple site contracts.
- Liaise with site managers, supervisors and clients to obtain attendance information, compliance updates and workforce requirements.
- Assist with workforce planning to ensure sites remain adequately staffed.
- Monitor onboarding progress to ensure operatives are site-ready and compliant before deployment.
- Provide general administrative support to Contract Managers and operational teams.
Skills & ExperienceEssential
- Previous administration experience.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Confident using Microsoft Office, particularly Excel, Word and Outlook.
- Strong communication skills with the ability to liaise effectively with site teams, candidates and clients.
- Ability to manage multiple tasks and prioritise workload effectively.
Desirable
- Previous experience within construction, rail, civil engineering, industrial or labour supply sectors.
- Knowledge of workforce compliance and onboarding processes.
- Experience processing timesheets and workforce records.
- Understanding of health and safety documentation and site compliance requirements.
