Job Overview
We are seeking a highly organised and efficient Legal Secretary / Office Administrator to support our legal team. This role involves providing comprehensive administrative assistance, managing correspondence, and ensuring the smooth operation of the office. The ideal candidate will possess excellent communication skills, proficiency in IT and Microsoft Office applications, and the ability to prioritise tasks effectively.
Responsibilities
- Perform audio typing of legal documents, correspondence, and reports with accuracy and speed
- Manage and organise legal files, documents, and case materials in accordance with firm procedures
- Handle incoming calls, emails, and postal correspondence professionally and promptly
- Assist with appointment scheduling, diary management, and meeting organisation
- Maintain and update client files using LawWare Case Management system.
- Support the team with general administrative duties such as filing, photocopying, and data entry
- Ensure compliance with confidentiality protocols at all times
Skills
- Proven administrative experience within a legal or professional environment preferred
- Excellent organisational skills with the ability to manage multiple tasks efficiently
- Strong communication skills, both written and verbal
- Proficiency in audio typing at a high standard of accuracy and speed
- Advanced knowledge of Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
- Good IT skills with the ability to adapt to new software systems quickly
- Effective time management skills to meet deadlines consistently
- Ability to work independently as well as part of a team in a fast-paced environment
