Quality Construction is building a highly organised, technology-led construction company and is entering a major implementation and growth phase. We are looking for an experienced Senior Executive Assistant & Implementation Coordinator to work directly with the Company Director and become the control point between ideas, decisions and execution across the business.
This is not a conventional diary-only PA role and it is not another general administrator. The successful person will take fast-moving, sometimes unstructured Director input and turn it into clear actions, projects, owners and deadlines — then follow through across the company until the work is genuinely complete.
What you will do
Capture Director brain dumps, voice notes, emails and decisions and convert them into organised action plans.
Maintain the Director Action Register and make sure important actions are owned, tracked and closed.
Coordinate cross-company implementation projects such as new hires, vehicles, supplier accounts, yard/logistics setup, training systems, software launches and new services.
Work closely with the Business Operations Coordinator and Business Support Administrator, feeding them clear work without duplicating their roles.
Look ahead 30/60/90 days and prepare the business for upcoming stages before they become urgent.
Identify missing ownership, weak systems and repeated problems and route them into the correct improvement process.
Prepare short decision briefs so the Director sees only what genuinely requires a decision.
Coordinate selected personal/executive administration, appointments, accountant correspondence and confidential matters.
Support recruitment coordination, interviews, onboarding and role-pack refinement when required.
Use ChatGPT/AI, shared drives, project-management tools and digital systems heavily to improve speed and quality.
What we are looking for
5+ years’ relevant experience in executive assistance, senior administration, operations/project coordination, founder support or a similar high-trust role.
Exceptional organisation and a natural instinct to close loops rather than merely record tasks.
Strong judgement: able to distinguish between something to solve, something to delegate and something the Director genuinely needs to decide.
Confident, warm and professional communication; comfortable chasing people without creating unnecessary friction.
Excellent written English and the ability to turn messy information into concise, useful documents and plans.
Strong technology skills and enthusiasm for AI-assisted working.
Discretion with confidential business, employee, financial and personal information.
Commercial common sense, resilience, humour and the confidence to work in a fast-moving owner-led business.

Pay: £42,000.00-£44,000.00 per year
