Role Overview
The Business Services Assistant role provides essential administrative and analytical support within a busy service environment, where coordination, communication, and awareness of related activities are key. The role is focused on supporting effective service delivery through accurate information handling, customer communication, and routine administrative processes.
The post holder will work under the direction of a Line Manager and contribute to maintaining efficient operations by ensuring information is processed, recorded, and communicated accurately and in a timely manner.
Key Responsibilities
- Prepare documents and other materials to a clear brief using established formats and standard software
- Collect, collate, enhance, and organise information for operational use
- Undertake straightforward data analysis, manipulation, and interpretation following set procedures
- Operate digital equipment, systems, and specialist/bespoke software to process documents and information
- Provide information and services to a range of stakeholders, including partner authorities, the public, and business users
- Receive, respond to, and resolve customer enquiries in a professional and courteous manner
- Escalate unusual or complex issues to senior staff for appropriate resolution
- Monitor and support financial records, including handling cash within defined procedures where required
- Follow established ordering processes to ensure adequate resources are available to meet service needs
- Communicate with internal and external contacts through routine and established channels
- Support compliance with Equality and Diversity policies in all interactions and service delivery
- Ensure adherence to Health and Safety procedures and report risks or concerns appropriately
- Contribute to risk awareness by identifying and escalating issues when necessary
Person Specification
Experience
- Relevant work experience in an administrative or comparable service environment
Skills and Knowledge
- Working knowledge of relevant systems, processes, and procedures
- Strong IT skills, including use of standard software packages and bespoke databases
- Ability to communicate clearly and professionally, both verbally and in writing
- Ability to plan, prioritise, and organise own workload to meet quality and output standards
- Understanding of relevant policies and procedures and their impact on the role
- Awareness of service priorities and working practices
