Job Purpose
Reporting directly to the Managing Director, the Sales & Accounts Administrator plays a key role in supporting the day-to-day operations of Cask International. This varied position is responsible for the efficient administration of sales, customer accounts, purchase ledger, invoicing, and general office operations, ensuring the business runs smoothly and continues to deliver an exceptional level of service to its customers.
Working closely with the Managing Director, warehouse team, delivery drivers, suppliers, and customers, the successful candidate will be at the heart of the business, coordinating customer orders, maintaining accurate financial records, supporting stock administration, and helping to build the strong relationships for which Cask International is known. The role offers the opportunity to make a genuine contribution to a growing independent craft beer distributor, where flexibility, initiative, and attention to detail are highly valued.
Key Responsibilities
Sales Administration
- Process customer orders received via telephone, email, online ordering platforms, and sales representatives.
- Prepare quotations, sales orders, delivery notes, invoices, and credit notes accurately and efficiently.
- Coordinate daily delivery schedules with the warehouse and transport teams.
- Liaise with customers regarding product availability, pricing, promotions, and delivery schedules.
- Maintain accurate customer records, pricing agreements, and product information.
- Support sales activity through efficient customer account administration and promotional campaigns.
- Monitor outstanding customer orders and resolve order or delivery discrepancies.
- Set up new customer accounts and maintain associated documentation.
- Communicate stock shortages, product substitutions, and supply issues promptly to customers and colleagues.
Accounts Administration
- Raise customer invoices accurately and promptly.
- Process supplier invoices and reconcile supplier statements.
- Record customer receipts and allocate payments.
- Process daily bank transactions and perform bank reconciliations.
- Monitor customer accounts and assist with credit control, following up overdue accounts in a professional manner.
- Process credits relating to returned, damaged, or short-delivered goods.
- Assist with month-end reconciliations and financial reporting.
- Maintain accurate accounting records using SAGE accounting software.
- Liaise with external accountants and provide supporting documentation as required.
Stock & Inventory Administration
- Maintain accurate product and stock records.
- Liaise with the warehouse regarding stock availability and replenishment.
- Assist with stock reconciliations and periodic stocktakes.
- Update product pricing, promotional offers, and supplier information.
- Monitor stock shortages and communicate purchasing requirements.
- Support the administration of seasonal beers, limited releases, and promotional stock.
Customer Service
- Deliver professional, friendly, and efficient service to trade customers.
- Respond promptly to customer enquiries relating to orders, deliveries, invoices, and account balances.
- Resolve customer issues effectively, escalating where appropriate.
- Build and maintain positive relationships with customers, suppliers, and colleagues.
- Help maintain Cask International's reputation for outstanding service and reliability.
- General Administration
- Answer incoming telephone calls and manage shared email inboxes.
- Maintain organised electronic and paper filing systems.
- Order office supplies and assist with the smooth running of the office.
- Ensure confidential handling of customer and financial information.
- Comply with company policies, health and safety procedures, licensing regulations,and data protection requirements.
- Provide administrative support to the Managing Director and assist with ad hoc projects as required.
Pay: £15.00-£20.00 per hour
