Salary: £30,000 - £40,000 per annum (depending on experience)
Hours: Full-time, 35 hours per week (Monday-Friday, 9:30am-4:30pm, including paid breaks)

About the Role
Rothesay Bennett Financial Planning is a growing and ambitious independent financial planning firm committed to delivering exceptional service to our clients. As our business continues to expand, we are seeking an experienced Financial Planning Office Manager to help lead our administration function, support our advisers and operational teams, and ensure the smooth day-to-day running of the office.
This is a varied, influential and rewarding position that combines operational management, team leadership, workflow oversight and financial planning administration. You will play a central role in maintaining high service standards, supporting complex client cases, developing team members and driving operational excellence across the business.
Working closely with Financial Advisers, Paraplanners, Administrators and senior management, with the help from HR, you will act as a trusted point of contact, problem solver and subject matter expert. You will be responsible for ensuring processes run efficiently, regulatory obligations are met, and the administrative team is supported, motivated and equipped for success.
This role would particularly suit an experienced Financial Planning Assistant, Senior Financial Services Administrator, Team Leader, Operations Supervisor or Office Manager looking to take the next step in their career within a growing and supportive business.
Essential Skills & Experience
- Previous experience working within a Financial Planning, Independent Financial Adviser (IFA), Wealth Management or Financial Services environment is essential.
- Some experience managing, supervising, mentoring or coordinating an administration or office-based team.
- Strong understanding of financial planning administration processes, adviser support and regulatory requirements.
- Excellent organisational, communication and leadership skills.
- Proven ability to prioritise workloads, manage competing deadlines and maintain high standards of accuracy.
- Experience using Intelligent Office (iO) and familiarity with financial planning platforms, providers and back-office systems.
- Strong working knowledge of providers and platforms such as Quilter, Aviva, Aberdeen, Prudential and similar organisations.
- Confident using Microsoft Office systems, particularly Outlook, Word and Excel.
Please note: Due to the specialist nature of this position, applications from candidates without previous financial planning, wealth management, IFA or financial services experience will unfortunately not be considered. General office management experience alone does not meet the requirements of this role.
Key Responsibilities
- Oversee the day-to-day operations of the financial planning office.
- Lead, support and develop our growing administration team in partnership with the HR function.
- Coordinate and monitor workflows to ensure service levels and deadlines are consistently achieved.
- Provide guidance and support on complex client cases and administrative queries.
- Ensure adherence to FCA requirements, Consumer Duty principles and internal policies and procedures.
- Work closely with Financial Advisers, Paraplanners and Administrators to maintain efficient and effective business operations.
- Identify opportunities to improve processes, increase efficiency and enhance client outcomes.
- Assist with recruitment, onboarding, training and performance development of team members.
- Maintain accurate records, oversee office systems and support relationships with external suppliers and providers.
- Act as a key point of contact for operational queries and day-to-day team support.
- Contribute to business projects, change initiatives and continuous improvement activities.
