Relief Operations Assistant – Private Tours & Chauffeur Services
Venture Highland is looking for a reliable, organised and personable Relief Operations Assistant to support our growing private tour and chauffeur business.
This is a flexible role providing additional operational cover during busy periods, staff holidays and other periods when extra support is required. It would suit someone who is highly organised, confident communicating with customers and suppliers, and comfortable managing several moving parts at the same time.
About the Role
Working closely with our operations team, you will help ensure that our private tours, chauffeur bookings and transfers run smoothly from initial planning through to delivery.
The role will involve a mixture of customer communication, itinerary planning, driver coordination, supplier bookings and general operational administration.
Typical responsibilities will include:
- Responding to customer enquiries by email and telephone
- Preparing and updating tour itineraries and driver briefs
- Coordinating drivers, vehicles, pickup times and customer requirements
- Checking upcoming bookings to ensure all arrangements are in place
- Booking attractions, distilleries, ferries, restaurants and other tour experiences
- Liaising with hotels, guides, suppliers and tourism partners
- Monitoring live operations and assisting with last-minute changes or customer requests
- Keeping booking information and operational records accurate and up to date
- Supporting airport, cruise ship, golf, private touring and chauffeur bookings
- Helping resolve operational issues calmly and professionally
- Providing holiday and sickness cover for the wider operations team
About You
We are looking for someone who is dependable, organised and comfortable taking responsibility.
You should have:
- Strong organisational and administrative skills
- Excellent written and verbal communication
- Good attention to detail
- Confidence dealing directly with customers
- The ability to prioritise and manage several bookings or tasks simultaneously
- A calm and practical approach when plans change
- Good computer skills and confidence using email, online booking systems and spreadsheets
- A good knowledge of Scotland and Scottish geography, or the willingness to learn quickly
- The ability to work independently as well as part of a small team
Experience within tourism, hospitality, transport, events, travel, customer service or operations would be particularly useful, although we are happy to consider candidates from other backgrounds with the right organisational and customer-service skills.
Knowledge of the Highlands, hotels, visitor attractions, whisky distilleries and Scotland's tourism industry would be an advantage.
Working Pattern
This is a relief/flexible position, with hours offered depending on operational requirements.
Cover may be required during:
- Busy touring periods
- Staff holidays
- Weekends
- Early mornings or evenings
- Periods of increased booking activity
Because of the nature of private tourism and chauffeur operations, some flexibility around working hours is important.

We work with individual travellers, families, international visitors, travel professionals and corporate clients, creating carefully planned journeys across the Highlands, Isle of Skye, Speyside, Edinburgh and throughout Scotland.
We are a small team, so this role offers the opportunity to become genuinely involved in the day-to-day operation of the business rather than working within a large call-centre environment.

Pay: £13.55-£15.00 per hour
