JD - Head of Fleet
Overview
We are looking for an experienced and driven Head of Fleet to lead the day-to-day management of our fleet operation, ensuring our vehicles remain compliant, roadworthy and available for customers.
This is a senior leadership role responsible for fleet maintenance, compliance, supplier management, claims oversight and operational performance. You will lead the Fleet team, work closely with our Claims department to minimise vehicle downtime and support the business in reducing its overall loss ratio.
The successful candidate will be commercially minded, highly organised and passionate about driving operational efficiency, reducing costs and maximising fleet utilisation.
Key Responsibilities
Fleet Operations
- Lead the maintenance, repair and logistics of the company fleet.
- Oversee all aspects of vehicle compliance, including servicing, MOTs, licensing and inspections.
- Ensure fleet utilisation is maximised by reducing vehicle downtime and improving turnaround times.
- Take ownership of the Fleet Management System, ensuring all vehicle records, reminders, documentation and statuses are accurate and up to date.
- Conduct regular quality inspections to ensure completed repairs meet company standards before vehicles are returned to service.
- Identify opportunities to improve operational processes and increase efficiency across the department.
Supplier & Garage Management
- Build and maintain strong relationships with garage partners, suppliers and manufacturers.
- Ensure all suppliers meet agreed service level agreements (SLAs), repair quality standards and turnaround times.
- Negotiate competitive pricing and identify opportunities to reduce maintenance and repair costs without compromising quality.
- Monitor supplier performance and implement improvements where required.
Claims & Risk Management
- Work closely with the Claims department to ensure vehicles involved in accidents are repaired and returned to service as quickly as possible.
- Support the Claims team in reducing the company's overall loss ratio by mitigating costs, improving risk management, and identifying opportunities to reduce future claims.
- Make commercial decisions on the settlement of claims, balancing repair costs, vehicle value and business impact to achieve the best commercial outcome.
- Assist with insurer, third-party and repair partner negotiations where required.
- Assist with repair estimates, engineer reports and insurer requirements where necessary.
- Identify trends in accident damage and work with the wider business to reduce fleet risk.
Leadership
- Lead, develop and motivate the Fleet team to achieve departmental objectives.
- Hold weekly team meetings to review performance, set priorities and drive accountability.
- Set clear objectives and monitor individual and team performance.
- Ensure departmental KPIs are achieved and continuously improved.
- Promote a culture of ownership, teamwork and continuous improvement.
Reporting
- Produce weekly and monthly fleet performance reports for senior management.
- Report on key metrics including utilisation, VOR, repair turnaround times, supplier performance, compliance and departmental costs.
- Provide recommendations to improve operational and financial performance. Commercial Performance
- Continuously identify opportunities to reduce operating costs while maintaining high service standards.
- Support wider business objectives through improved fleet availability and operational efficiency.
- Drive initiatives that improve profitability, customer experience and overall fleet performance.
Skills & Experience
Essential
- Minimum 3 years experience in a Fleet Management or senior fleet operations role.
- Strong understanding of fleet maintenance, compliance and vehicle repair processes.
- Experience managing suppliers and external garage networks.
- Proven leadership and people management experience.
- Excellent organisational and communication skills.
- Strong commercial awareness with the ability to manage budgets and reduce costs.
- Full UK Driving Licence.
Desirable
- Experience within vehicle rental, automotive or transport industries.
- Knowledge of insurance claims and accident management.
- Experience using Fleet Management software and reporting tools.
