Overview
I am looking for a highly organised, reliable and proactive Part-Time Personal Assistant / Property & Business Administrator to provide ongoing support with the management of a property portfolio and a range of general administrative tasks.
The main purpose of the role is to take ownership of the smaller day-to-day matters that arise across the property portfolio, particularly dealing with managing agents, contractors and other third parties.
Although the property administration itself may only take around a couple of hours a day, the role will also involve supporting with wider administrative tasks. The aim is to have someone dependable who can take these responsibilities off my desk, reduce interruptions and allow me to focus more fully on running my main business.
This is intended to be a long-term position for the right person rather than a short-term administrative role.

Key Responsibilities
- Liaising with managing agents and following up on outstanding matters
- Monitoring repairs, maintenance and general property issues
- Chasing managing agents, contractors and other suppliers where necessary
- Reviewing correspondence and ensuring issues are dealt with promptly
- Keeping track of ongoing property matters and providing regular updates
- Identifying smaller issues that may otherwise be overlooked
- Arranging contractors or appointments when required
- Occasionally visiting properties to inspect minor issues or check that work has been completed
- Maintaining organised records of property-related matters
- Escalating significant issues to me when necessary
General PA / administrative support
- Managing emails and correspondence
- Following up on outstanding actions
- Organising information and maintaining simple spreadsheets
- Booking appointments and arranging meetings
- Carrying out online research
- Dealing with routine administrative tasks
- Helping to organise documents and records
- Providing general support across my business and personal administration as required.
- Manage and coordinate property-related tasks, including scheduling inspections, maintenance appointments, and liaising with contractors.
- Provide exceptional phone etiquette when communicating with clients, vendors, and service providers.

I am looking for someone who is:
- Highly organised and able to manage multiple tasks independently
- Proactive rather than waiting to be told what to do
- Excellent at following things up and ensuring matters don't get forgotten
- Confident communicating with managing agents, contractors and other professionals
- Comfortable dealing with emails and telephone calls
- Professional, discreet and trustworthy
- A strong written and verbal communicator
- Comfortable using Microsoft Office / Google Workspace and spreadsheets
- Able to work independently with minimal supervision
- Practical and willing to investigate problems and find solutions
- Detail-oriented without losing sight of the bigger picture
Previous experience in property management, estate agency, lettings, property administration or as a PA/EA would be advantageous, but is not essential. The most important qualities are organisation, reliability, initiative and the ability to take ownership of tasks.
The role
The initial requirement is approximately 15 hours per week, ideally spread across several days.
The exact working pattern can be discussed and there may be flexibility around when the hours are worked, provided there is sufficient availability during normal working hours to deal with managing agents, contractors and other time-sensitive matters.
