The Contracts & Risk Administrator provides foundational operational, administrative, and office support to the EMEA Contracts and Risk department. Reporting directly to the Compliance & Risk Manager, you will maintain project risk logs, coordinate contract documentation, and run day-to-day office administration. A core focus of this role is managing the Third-Party Worker Process, ensuring all contractors, freelancers, and external consultants are vetted, compliant, and properly onboarded across our EMEA operations.
Key Responsibilities
Third-Party Worker Process Management

Onboarding & Vetting: Coordinate the end-to-end compliance checking and onboarding process for all third-party workers, independent contractors, and external consultants.

Compliance Vetting: Verify that third-party workers meet all corporate compliance mandates, including right-to-work, professional insurances, and anti-bribery (ABAC) signoffs.

Classification Tracking: Assist the manager in tracking and documenting regional worker classifications (such as IR35 status determinations in the UK or local equivalent regulations across EMEA).

System Management: Own the data entry, profile creation, and ongoing system updates for third-party workers within internal databases and procurement tools.

Offboarding: Manage the formal offboarding process, ensuring system access is revoked and contract end-dates are accurately archived.
General Office & Departmental Administration

Office Coordination: Perform general administrative and office duties to ensure the smooth daily running of the department (e.g., managing post, ordering office supplies, archiving physical files).

Meeting & Event Logistics: Schedule regional risk workshops and department meetings, prepare agendas, book rooms/digital links, and take detailed minutes where needed.

Training Support: Manage invitations, attendance logging, and materials distribution for regional compliance training programmes.
Contract & Documentation Administration

System Maintenance: Organise and maintain the central repository for Master Services Agreements (MSAs), EPCMV contracts, subcontracts, and non-disclosure agreements (NDAs).
Risk Tracking & Reporting Support

Risk Register Updates: Maintain and update the EMEA Regional Risk Register under the direction of the Compliance & Risk Manager.

Audit Coordination: Coordinate logistics for internal compliance reviews, preparing documentation folders and tracking open action items.

Qualifications & Requirements:
- Experience: Minimum of 2+ years of administrative, office management, or project coordination experience within a corporate environment.

Process Knowledge: Prior exposure to onboarding workflows, contingent worker processes, or basic HR/procurement administration.

Software: High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint) and document management systems.

Education: Minimum of A-Levels, a relevant college diploma, or equivalent professional administration experience.
Preferred (Desirable)

Prior experience handling third-party contractors, independent consultants, or agency worker administration.

Familiarity with worker compliance concepts (e.g., IR35 guidelines, contractor vetting software).

Background within engineering, construction management, legal operations, or corporate procurement environments.

Time Management: Strong ability to prioritise urgent onboarding requests alongside routine office duties and project deadlines.
